What happens between our calls with them matters most. Do we pay them the right amount, on time? Do we explain things clearly? This job is the backbone of that trust. The person in this job shapes how every investor feels about Clive, every single day. We need someone who can take a task, own it, and finish it without being told every step. You speak up early if something looks wrong. You check your work before you send it. If you make a mistake, you tell us right away, and you never make that same mistake twice. You need to be good with numbers. This job uses QuickBooks, distribution math, and monthly fund reports. If math makes you nervous, this job is not for you. WHAT YOU'LL OWN - Investor questions (email and text), answered within 24 hours - Distribution calculations and execution: right amounts, right investors, on time, every time - Fund document accuracy across every upload and investor communication - QuickBooks reconciliation and monthly investment and fund performance reporting - Investor updates, sent within 24 hours of receiving sponsor data - Deal pipeline management and soft commit tracking (Avestor) - Investor-relations CRM management (tags, pipelines, automations, templates) using GoHighLevel - Website content updates and edits (WordPress) - Appointment-setting outreach and follow-up via LinkedIn and email, for example with CPAs, attorneys, fund managers, and capital partners - Tax strategy introductions, follow-ups, and report preparation As you grow in the role, you'll take on: - Building and owning investor relations standard operating procedures - Answering investor questions independently, without needing guidance on known scenarios - Proactively flagging issues before they become investor-facing problems - Actively contributing to growing the investor base, not just maintaining it - Fund manager and capital partner outreach and relationship-building - Loan application support as our real estate activity grows TOOLS YOU'LL USE Avestor, QuickBooks, GoHighLevel, Google Drive and Google Workspace, WordPress, Asana, Slack, and Claude and other AI tools for workflow automation. WHAT WE NEED FROM DAY ONE You solve problems on your own. When something looks off, you check it and figure it out before you act or ask for help. You don't freeze. You don't guess. You don't wait around for permission on normal calls you should be able to make. You never make the same mistake twice. You learn fast, and once we show you something, you own it for good. You finish what you start. Every task gets written down, tracked, and closed out. Nothing sits half-done. If you're stuck, you say so right away, and you never let a deadline pass quietly. You speak up early and often. You tell us about problems, delays, and mistakes the moment you see them, not after someone else finds them first. We always want to hear bad news early. You check twice before you hit send. Before you tell an investor something happened (a payment, a distribution, an update), you check the real system first to make sure it is true. Wrong numbers, wrong names, and wrong documents are never okay when it's real people's money. You never test or practice inside a real, live account. If you need to try something out, you use a sandbox, a spreadsheet, or a written plan first. You plan around real deadlines, not around yourself. You know when vendors and partners are open or closed, and you build your schedule around their hours, not the other way around. You check your own work every single day. You look at your open tasks, messages, and inboxes daily, so nothing sits and goes stale. You protect private information. You check who someone really is before you share anything sensitive. You use AI to move faster, not to think for you. AI can help you write, calculate, and plan quicker. But you always check the result yourself before it goes out. If you can't explain why an answer is right, you don't send it. You solve problems in creative ways. You look at a broken or repeat process and find a better way to do it. You don't just follow a checklist. WHAT SUCCESS LOOKS LIKE - 100% meeting attendance, on time - Feedback incorporated the same meeting it's given - Tasks tracked proactively and never silently dropped - No hand-holding required on documented, known processes - Clear, frequent updates without being asked NICE TO HAVE - Experience with real estate fund operations, distributions, or investor relations - Familiarity with Avestor, GoHighLevel or similar CRM tools, QuickBooks, or AI-driven workflow automation (e.g., Claude) HOW TO APPLY If this sounds like you, we would love to hear from you.
