Jotform + AI Automation Expert Needed to Streamline Nanny Agency Operations & Lead Follow-Up

I own a growing nanny placement agency and am looking for someone who can help me improve the way my business operates behind the scenes. I already use Jotform for client and caregiver forms, and I use AI tools such as Claude, but I know I am not using these systems to their full potential. I am not currently looking for a traditional virtual assistant. Instead, I want someone who can help me build smarter systems, automations, and workflows so the business can run more efficiently without adding unnecessary administrative staff. I’m looking for someone experienced with Jotform, AI automation, email workflows, lead management, and small-business systems who can look at what I currently have and recommend ways to improve it. Some areas I would like help with include: * Improving and automating my Jotform workflows * Creating better client and candidate intake processes * Using Claude AI and/or other AI tools to assist with backend operations * Automating emails, follow-ups, reminders, and internal processes * Creating a better system for tracking leads, families, candidates, and placements * Improving how quickly inquiries receive responses * Creating follow-up sequences for potential clients who do not immediately book * Reducing repetitive administrative work * Organizing my backend so information is easier to find and manage * Identifying where leads or potential clients may be falling through the cracks * Helping create systems that support client acquisition and conversion * Connecting Jotform with other tools when appropriate * Recommending additional automations or software that would make the agency more efficient My biggest goals are to **generate more qualified client inquiries, improve response and follow-up rates, stay organized, and create a backend that can support the business as it grows.** I would love to work with someone who can not only build automations, but also look at my current process strategically and say, “Here’s what I would change and here’s why.” Experience with service-based businesses, staffing/recruiting agencies, nanny agencies, lead generation, CRM systems, Zapier/Make, Jotform, email marketing, or AI workflow development would be a major plus.
