Summary

Bulletproof Fitness Equipment is a fast-growing fitness equipment company focused on innovative home and commercial gym equipment. We are rebuilding our email marketing system and are looking for an experienced Klaviyo + Shopify specialist to handle the technical implementation. We already have our overall marketing strategy, brand direction, customer journey concepts, and content direction being developed. We are NOT looking for an agency to develop our entire marketing strategy. We need someone who is excellent at taking a defined strategy and building it correctly inside Klaviyo. PROJECT GOAL Build a clean, scalable Klaviyo foundation that allows us to: Segment customers based on behavior and purchases Know which products customers own Identify first-, second-, and third-time purchasers Recognize high-value/VIP customers Automate important customer journeys Improve abandoned-cart recovery Improve post-purchase communication Increase repeat purchases Improve customer education Protect deliverability Make the system easy for our internal team to manage after completion This is Phase 1 of a much larger marketing and customer-experience system. If this project goes well, there will likely be significant ongoing Klaviyo and automation work. PHASE 1 — ACCOUNT & SHOPIFY AUDIT Review our current Klaviyo account and Shopify integration. Verify: Shopify integration Customer synchronization Order events Product/catalog synchronization Placed Order events Ordered Product events Checkout events Website tracking Email consent SMS consent if applicable Sending-domain authentication Existing lists Existing segments Existing flows Existing suppression rules Duplicate or unnecessary structures Do NOT delete or materially change existing data without approval. Provide a short summary of anything that should be corrected before building. PHASE 2 — DATA & SEGMENTATION Create a clean segmentation structure. At minimum, we want to be able to identify: Purchase Stage Never Purchased First-Time Customer Second-Time Customer 3+ Purchase Customer Engagement Highly Engaged Engaged Becoming Unengaged Unengaged Suppression/Sunset Candidates Customer Value High Lifetime Value VIP Very High Value / Top Customers Exact thresholds will be determined with us before implementation. Product Ownership We need dynamic customer segments for major products, including products such as: Isolator VTS VTS Lite VTS HOME / HOME-series products AllBar Vertical Belt Squat / VBS Direct Flight / Multi-Flight Cable Cam Crossbow Cam Pullover Adjustable Curl/Dip Other major products as provided Where possible, these should be based on actual Shopify purchase/event data rather than manually maintained tags. The structure must be scalable so new products can easily be added. PHASE 3 — CORE FLOWS Build and configure the following priority flows. 1. Welcome Flow For new email subscribers. Must support: Founder introduction Bulletproof story Innovation philosophy Community Product discovery Appropriate conversion opportunities We will provide/approve messaging. 2. Abandoned Checkout Flow Build proper timing, filtering, and exclusions. Avoid sending inappropriate or duplicate messages. 3. Browse Abandonment Flow Build appropriate product-interest logic and exclusions. 4. First-Purchase Customer Flow This is extremely important to us. A customer's first experience with Bulletproof should feel personal and exceptional. The system should be capable of supporting: Founder/family thank-you Product-specific onboarding Setup information FAQs Helpful tips Customer check-in Education Community invitation Review request at the appropriate time Referral opportunity at the appropriate time The journey may branch depending on the product purchased. 5. Second-Purchase Flow Recognize that the customer has purchased again. This should NOT feel like the first-purchase flow. Possible components: Recognition/thank-you Ecosystem education Complementary products Community Appropriate cross-sell 6. Third-Purchase / Loyalty Flow A third purchase should trigger another level of recognition. We are developing a larger loyalty/VIP system, so this flow should be built in a way that can expand later. Potential actions include: Founder recognition Loyalty recognition VIP identification Special-access eligibility Internal task/notification for exceptional customers 7. Win-Back Flow Identify customers who have not purchased within an appropriate timeframe and attempt to re-engage them. Timing should account for the fact that fitness equipment is not purchased at the same frequency as consumable products. 8. Sunset / Deliverability Flow Create a proper system for identifying persistently unengaged subscribers and protecting deliverability. Do not simply suppress people based on arbitrary assumptions. Explain the recommended engagement windows and logic before implementation. PHASE 4 — IMPORTANT LOGIC Flows must account for situations such as: Customer already purchased Customer purchased while inside another flow Customer has multiple products Customer makes another purchase Customer is already a VIP Customer is suppressed Customer has not consented Customer is highly engaged Customer is unengaged Customer has an active preorder where relevant Duplicate or conflicting communications Flow re-entry rules We care about customer experience more than simply maximizing the number of emails sent. PHASE 5 — TESTING Every flow must be tested before being activated. We expect testing of scenarios including: New subscriber First-time buyer Second-time buyer Third-time buyer Existing customer Product-specific owner Multi-product owner VIP customer Unengaged subscriber Suppressed profile Customer purchasing while inside another flow Check: Trigger Filters Branches Timing Links Personalization Mobile rendering Desktop rendering UTM tracking Exclusions Exit conditions No flow should simply be switched live without QA. PHASE 6 — DOCUMENTATION & HANDOFF We do not want a system that only the contractor understands. At completion, provide: 1. Flow Map Simple documentation showing: Trigger → Conditions → Branches → Messages → Exit for every flow. 2. Segment Dictionary For every major segment: Name Purpose Definition Logic 3. Naming Convention Create a consistent naming convention for: Campaigns Flows Segments Lists Tests 4. Video Walkthrough Record a screen-share walkthrough explaining the system to our internal team. 5. Ownership Everything must remain inside accounts owned and controlled by Bulletproof Fitness Equipment. IMPORTANT: WHAT WE DO NOT NEED We are NOT looking for someone to: Rebuild Shopify Build custom CRM software Build a custom AI platform Invent our brand voice Completely redesign our marketing strategy Lock us into proprietary systems Our team is developing the strategy and content. We primarily need an exceptional Klaviyo implementation specialist. IDEAL CANDIDATE You should have strong experience with: Klaviyo Shopify Ecommerce Advanced Klaviyo flows Dynamic segmentation Conditional splits Behavioral triggers Purchase-based segmentation Deliverability Flow QA Ecommerce lifecycle marketing Experience with higher-ticket ecommerce products is a major plus. Show us 2–3 examples of sophisticated Klaviyo flows you have built. Explain how you would identify a customer's first, second, and third purchase inside Klaviyo. Explain how you would dynamically identify customers who own a specific Shopify product. How would you prevent a customer from receiving inappropriate abandoned-cart or prospect messaging after purchasing? How would you approach a sunset flow for a company selling expensive fitness equipment where customers may naturally purchase infrequently? What would you audit before activating our flows?
