Immigration Assistant (25–30 hrs/week) — Canadian Immigration Law (Ongoing) SUMMARY We’re a busy Canadian immigration law practice looking for a sharp, reliable Immigration Assistant to support day-to-day file work and client communication. This is a real operations role. You’ll proofread, prepare and organize materials, help draft and assemble applications, and keep clients supported and informed. If you catch mistakes before anyone else sees them, follow through without reminders, and communicate with warmth and clarity, we’d love to meet you. Rate: $12–$16 USD/hour Hours: Initially, typically 25–30 hours/week, with flexibility based on workflow and coverage needs. Schedule: Must be available during business hours, 9:00am–5:00pm Eastern Time, for a consistent block each weekday. WHAT YOU’LL DO Proofread documents for grammar, punctuation, formatting, and internal consistency Prepare client correspondence and request letters Gather, organize, label, and file client documents with precise naming conventions Draft and assemble immigration applications for review (forms, supporting materials, document checklists) Support client intake: document collection, follow-ups, status updates, and next-step reminders Provide reception coverage as needed (phone and email), including scheduling consultations Maintain calendars, deadlines, and bring-forward reminders Basic trust bookkeeping support (receipts, pre-bills, invoices) Cross-train in reception and invoicing to support smooth operations Contribute to a responsive, professional, and personable client experience MUST-HAVES (NON-NEGOTIABLE) 2+ years experience as an assistant (legal admin experience strongly preferred) High-level professional English (writing + speaking) Strong proofreading and basic arithmetic skills Client-first communication: responsive, personable, and confident on calls High integrity and discretion (you’ll handle confidential information) Strong Microsoft skills, especially Word, Excel, and Outlook Reliable follow-through: you own tasks, track details, and close loops without being chased Comfortable working independently with clear instructions (no micromanagement) NICE-TO-HAVES Experience with Canadian immigration files, forms, and supporting documentation Law office administration experience (billing, trust processes, file organization) Comfort managing multiple deadlines and shifting priorities WHAT IT’S LIKE TO WORK WITH US Clear instructions Respectful, professional communication Direct feedback and high standards (we care about doing excellent work) A role where your organization and judgment genuinely matter HOW TO APPLY Please submit a proposal that includes: A short intro (2–4 sentences) describing your most relevant experience Your availability in Eastern Time, and confirmation you can work during 9:00am–5:00pm ET for a consistent block each weekday One example of a time you caught an error others missed (what you noticed and what you did) Any experience you have with Canadian immigration applications (even if limited) Applications that don’t answer the four items above may not be considered.
