Marketing Coordinator / Project Manager — Part-Time, DTC Brand (Notion + AI-heavy)

Summary

We're an established DTC sports gear brand — we sell direct on our own site, on Amazon, and through major retailers. Small team, high output, no layers. You'd report directly to the founder. The role Our marketing team is a group of talented specialists — video, design, photography, paid media, community, SEO — most of them part-time, all of them excellent in their lane. What we don't have is the person who makes them run as one team: shared calendar, shared context, connected handoffs, one rhythm. That's this role. The specialists own their craft; you own the connections between them. You're the person who knows the state of everything in flight, makes sure a campaign moves through email, social, site, ads, and Amazon on one timeline instead of five, and catches the gap or collision before it becomes a missed launch. Concretely: when paid media needs creative, they don't wait and wonder — you already knew and it's already moving. When a launch date shifts, everyone affected hears it the same day, from you. When the founder wants to know where marketing stands, the answer is a board you keep true — not a round of Slack messages. What you'll do Run the machine - Own the content production calendar — every deliverable has an owner, a due date, and a status that's actually true - Run the weekly content meeting: agenda, decisions needed, what's blocked, what shipped - Write and route briefs — turn campaign plans into clear assignments with owners and deadlines - Build the monthly email calendar from the campaign plan Keep the team connected - Be the first call for the marketing team — questions, blockers, and status route to you before they route to the founder - Manage handoffs between lanes: design → site, assets → marketplace listings, creative → paid ads, launch dates → everyone - Carry context between people who don't otherwise talk — paid media, video, and community should never be surprised by each other's work - When something changes — a date, a priority, a product — every affected person knows, same day Make sure things ship - Chase deliverables early and cheerfully — follow up before things are late, not after - Track creator and UGC commitments: who received product, what they owe, whether usage rights are confirmed before anything publishes - Flag misses days ahead, with a plan — never the day of What you won't do Worth being upfront: brand voice, creative approval, product claims, and spending decisions stay with the founder. You'll escalate rather than decide on those — and that's the design, not a limitation. Your authority is the calendar and the connections, and here those are real authority. The tools We run lean because we run on good tooling. You should be genuinely comfortable — not resume-comfortable — with most of this on day one: - Daily: Notion (our source of truth — you'll run it, not just use it) · Slack · Claude / AI assistants — we're an AI-heavy company; AI drafts briefs, builds summaries, and automates the boring parts. You don't need to be technical, but you should be the kind of person who reaches for AI first and can show us how you already use it. - Weekly: Figma (review, comment, route — you won't design) · Canva (resizes, template fills, quick versions) · Instagram / TikTok / Facebook / YouTube (scheduling and publishing coordination) · Google Workspace - Bonus: Shopify admin, email marketing platforms, formal project-management background. We'll train what's specific to us. Success at 90 days - Launch-critical work hits its dates, measured weekly - The production board is accurate enough that anyone can see the state of marketing in two minutes - The weekly content meeting runs without the founder preparing it - The team's questions come to you first — and get answers or routing the same day - Nobody is surprised by a change that happened three days ago You're right for this if - You're organized in a way other people can feel — trackers, deadlines, follow-ups are your native language - You genuinely like being the hub: talking to five different kinds of people in a day and translating between them - You're comfortable chasing people more senior or more creative than you, cheerfully and repeatedly - You write clearly and briefly - Bonus: you've worked around ecommerce or content production — enough to know what a PDP, a UGC rights grab, and a launch calendar are Timing and logistics You'd start into our biggest stretch of the year: a major product launch this fall, then the holiday season. Part-time now; the role grows with the calendar — the right person will have more to own every quarter. Timezone: at least 4 hours of overlap with US Pacific business hours. To apply Start your proposal with your answer to question 2. Then answer the rest, briefly — bullet points welcome, no cover letter essays. 1. Tell us about a time you kept a group of people who didn't report to you moving in the same direction — what broke, and what you did about it. 2. A designer's asset was due yesterday. They haven't answered your first follow-up. Write the exact message you'd send next. 3. A launch date just moved up by a week. Walk us through your first 60 minutes. 4. Give one real example of how you use Claude (or any AI assistant) in your work today — the actual task, not the category. Optional but welcome: a screenshot of a production board or content calendar you've actually run.
