Marketing Program VA – Healthcare Clients - EST Hours Needed We run 30-day marketing launch programs for medical and aesthetics clinics. Each program includes a defined set of deliverables executed within a tight window. We need a VA who can execute those deliverables, drive client communication, and manage multiple concurrent programs without dropping anything. This is a high-volume coordination and execution role. You are not a strategist. You are the person who makes things happen on time. What You Personally Execute You own these deliverables end to end: Press releases: draft from template, generate client quote, create Canva graphic, distribute via EIN Presswire Directory listings: set up and submit via Advice Local Google Business Profile: benchmark prior-month data, optimize profile, capture before/after screenshots Social media scheduling platform: add client user, send Loom walkthrough and login credentials, verify access at 2 days Email newsletters: build the email in our platform, execute the send, pull open/click performance at 5 days post-send What You Coordinate For these deliverables, an internal specialist does the technical work. You own the client side: collecting assets, creating ClickUp tasks, following up with the specialist, routing approvals, and writing the completion summary. Website SEO + 2 blog posts Custom website page build Meta ad campaign setup and management Client Communication This is not a background role. Direct client communication is a primary responsibility. Monitor client responses after kickoff and follow up within 24 hours of silence Send a status update at minimum once per week throughout the program Once a deliverable is submitted for client review, follow up daily until they respond. No skipping days. If a client has gone silent for 3 business days on a critical item, notify your supervisor the same day Send a Day 25 review-ready email with all assets linked Deliver an internal wrap-up brief to your supervisor by Day 28 All communication is peer-to-peer in tone. Not salesy, not templated-sounding. You write like a professional who respects the client's time. Records and Reporting Maintain a clean ClickUp project for every active program, updated daily Log every client email, call, and approval as a HubSpot activity Capture results for each deliverable as it completes (pickup reports, submission confirmations, performance screenshots, benchmark comparisons) Compile wrap-up data so your supervisor walks into the Day 30 client call fully prepared Required Experience 2+ years executing digital marketing deliverables for clients or in-house Hands-on Google Business Profile setup and optimization Experience building and sending marketing emails in any platform Familiar with local SEO concepts: citations, NAP consistency, directory submissions Comfortable writing professional, peer-to-peer client emails at volume Can use HubSpot and ClickUp without hand-holding, or can demonstrate you ramp fast Has coordinated work across internal specialists or contractors Nice to Have Aesthetics, medspa, or healthcare marketing background Canva design experience Press release writing or PR distribution experience Experience with review generation or reputation management platforms How You Work You hit deadlines without being chased You follow up persistently with clients who go quiet, politely and frequently You ask questions early instead of guessing and making it someone else's problem You write accurate copy: no inflated claims, no fake stats, no AI-sounding filler You document what you did so anyone can pick up where you left off You flag risks early. Silence from a client is a risk. Volume and Ramp There is no shadowing period. Week 1 you are executing on active programs. By Week 3 you are carrying 10 or more concurrent client programs independently.
