The purpose of this project is to convert the existing manually maintained Index in the Bylaws manual into a dynamic Microsoft Word index. While the current index is professionally formatted, it must be updated manually whenever revisions change the page numbering throughout the document, a process that is both time-consuming and prone to error. By converting the index to Word's built-in indexing system, future updates to the Bylaws will automatically generate correct page numbers with a simple update command (right-click the Index and select Update Field). This significantly reduces the time required to maintain the document while improving long-term accuracy and consistency. Although the finished index will closely resemble the current version, Microsoft Word's automated indexing tools have some formatting limitations. The goal is therefore to preserve the existing appearance as closely as possible while prioritizing functionality and maintainability. This means the new Index will be similar but not exactly the same as it has been. (I will attach samples to this email so you can see what I mean.) Because the current index was created manually, this conversion requires more than simply formatting the existing pages. Every indexed reference throughout the bylaws must be individually identified, reviewed, and tagged within the document using Microsoft Word's indexing tools. This creates the underlying structure that allows the index to be regenerated automatically whenever the document is revised. The process is time-consuming and must be regularly tested to make sure references are tagged correctly. This is a one-time conversion project. Once completed, future bylaw amendments that affect page numbering will no longer require a manual review and correction of the entire index, resulting in substantial time savings for all future revisions. Scope of Work The project consists of converting the existing manually maintained Index in the Bylaws manual into a fully functional Microsoft Word automated index. This conversion will include: o Reviewing the existing index and its structure. o Identifying and marking each indexed reference throughout the bylaws document using Microsoft Word's indexing tools. o Preserving the existing hierarchy of main entries, subentries, and cross-references wherever possible. o Recreating the current index formatting as closely as Microsoft Word allows while maintaining compatibility with the automated indexing system. o Testing the completed index to ensure page references update correctly after document revisions. o Performing quality assurance and proofreading of the generated index to verify accuracy and consistency. Because the existing index was created manually, every indexed reference must be individually reviewed and converted. This process will establish the foundation for significantly easier maintenance in future editions of the bylaws. Estimated Time Based on preliminary research, testing, and the complexity of the existing index, the estimated time required to complete this conversion is 50–60 hours. This estimate reflects: o the size of the bylaws document, o the number and complexity of existing index entries, o the manual identification and tagging of indexed references, o formatting adjustments, o testing and validation of the automated index, o and final quality review. Actual time may vary depending on the density of index entries and any unforeseen issues discovered during the conversion process. Should the scope change or additional work become necessary, it will be discussed and approved before proceeding beyond the estimate. Progress updates will be provided throughout the conversion process (such as sending updated versions each time a letter section is completed—A, B, C, etc.), and approval will be requested before exceeding the estimated range.
