[10–15] hrs/week to start, likely to grow **Level:** Intermediate–Expert **Time zone:** Overlap with Hong Kong / Sydney business hours (HKT / AEST) required for at least a few hours daily **Contracting entity:** Our Hong Kong company — contract and payments are issued from Hong Kong via Upwork --- ## About us We're a small, founder-led group of businesses headquartered in **Hong Kong**, with clients and operating entities across **Hong Kong, Australia and the United Kingdom**. You'll be engaged by our Hong Kong company, which also handles the group's finance function, and you'll work across all three entities day to day. We move fast, keep things lean, and need someone who can own the numbers and the admin so the founder can stay focused on clients. We're looking for a reliable, detail-obsessed bookkeeper who is comfortable working across three tax and compliance regimes — not just one — and who is happy to pick up online admin tasks between reconciliations. ## What you'll be doing **Bookkeeping (core of the role)** - Weekly bank and credit-card reconciliations across HK, AU and UK entities (multi-currency: HKD, AUD, GBP) - Accounts payable and receivable: entering supplier bills, raising client invoices, chasing overdue payments - Payroll processing and superannuation / pension contributions where applicable - Preparing and lodging (or preparing for our accountant to lodge): - **Hong Kong (our HQ):** Profits Tax return support, Employer's Return (IR56 series), MPF contributions, Business Registration renewals, annual audit pack preparation and liaison with the HK auditor - **Australia:** BAS / IAS, GST, PAYG withholding, superannuation guarantee, STP reporting, FBT awareness - **UK:** VAT returns under Making Tax Digital, PAYE/RTI submissions, CIS if relevant, Companies House confirmation statements - Month-end close: accruals, prepayments, fixed-asset register, intercompany balances and recharges - Managing intercompany transactions and transfer-pricing documentation basics between the three entities - Preparing management reports: P&L, balance sheet, cash-flow summary per entity plus a consolidated view - Liaising with our external accountants / tax agents in each country and keeping them supplied with what they need - Maintaining clean, audit-ready records and a document trail for every transaction **Online admin (roughly 20–30% of the role)** - Inbox triage and email management (Google Workspace) - Calendar and booking management - Client onboarding paperwork, contracts and e-signatures - Supplier and subscription management, expense tracking, receipt collection - Keeping shared drives, templates and SOPs tidy - Ad-hoc research, data entry and general virtual-assistant support ## What we're looking for **Must-haves** - 3+ years of hands-on bookkeeping experience, with **demonstrable work across at least two of HK / AU / UK** — Hong Kong experience is strongly preferred since that's where the group is run from (all three is the dream — please tell us which ones and for how long) - Working knowledge of the compliance calendars and filing obligations in each jurisdiction (IRD and MPFA, ATO, HMRC and Companies House) - Strong **Xero** skills (Xero Advisor / Payroll certification a plus); QuickBooks Online or MYOB experience also welcome - Confident with multi-currency accounting, foreign-exchange gains/losses and intercompany entries - Comfortable with tools like Dext / Hubdoc, Stripe, Wise, and standard payment gateways - Excellent written English — you'll be emailing our clients, suppliers and accountants - Highly organised, self-directed and reliable: you'll be working mostly asynchronously and need to be the person who never lets a deadline slip - Discreet and trustworthy with confidential financial and client information **Nice-to-haves** - Formal qualification (e.g. Cert IV Bookkeeping / BAS Agent registration in AU, AAT in the UK, HKICPA-track or equivalent) - Experience with healthcare, clinics or service-based businesses - Experience supporting a founder-led small business rather than a large finance team - Familiarity with Google Workspace, Notion/Google Docs and basic automation (Zapier/Make) ## How we work - Fully remote; you set your own hours, with some overlap with Hong Kong / Sydney business hours for a quick check-in - Async-first: weekly written update from you, a short call every fortnight - Access provided via Xero, shared Google Drive, and a password manager (no sharing of raw credentials) - Contract and payment through Upwork from our Hong Kong company; tracked hourly to start, with the option to move to a fixed monthly retainer once we've settled into a rhythm ## Budget Hourly, paid in USD via Upwork — please quote your rate.
