Online Business Manager / Launch & Operations Assistant

About the Practice I am an established education consultant with a private practice focused primarily on working with families and parents of neurodivergent children and adolescents, as well as schools, teachers, and organizations. I have developed a national presence in the neurodivergent community through many years of consultation, training, and educational work. I am now looking to expand beyond individual consultation into small-group programs, parent offerings, digital resources, online trainings, and membership-based cohorts. I have the subject-matter expertise and ideas. I am looking for someone who can help me turn those ideas into well-organized, professional, functioning offerings. What I Need I am looking for an experienced Online Business Manager (OBM), Launch Manager, or highly capable Virtual Assistant with online-program experience to help me build and launch these offerings. The first project will likely be launching a small-group program for parents/families. The program will include live Zoom sessions, case consultation, teaching, participant intake, resources, recordings, and ongoing communication. I would like someone who can help me take a project from idea to implementation. I do not need someone to develop the educational content. That is my area of expertise. I need someone who is strong at systems, technology, organization, implementation, and project management. Initial Project Help me launch a small-group parent program, including: - Refining the program structure and participant experience - Recommending an appropriate technology/platform setup - Creating a registration/sales page - Setting up payment and registration - Creating participant intake/application forms - Creating case-consultation submission forms - Setting up Zoom and participant communications - Creating confirmation and reminder emails - Setting up a private online community or participant space - Organizing recordings and downloadable resources - Creating a simple onboarding process - Tracking registrations and participant information - Supporting the launch and enrollment process - Creating systems that can be reused for future programs After the initial launch, there may be opportunities to continue working together on additional offerings, including digital products, workshops, courses, memberships, and school/teacher programs. Ideal Candidate You are someone who: - Has experience working with coaches, consultants, educators, therapists, or other expert-led businesses - Has helped launch an online course, cohort, membership, group program, or similar offering - Is comfortable with technology and learning new platforms - Can independently figure out how systems should fit together - Is highly organized and detail-oriented - Can manage a project from beginning to end - Communicates clearly and proactively - Doesn't need to be given instructions for every individual task - Can tell me when there is a better or simpler way to do something - Understands that a polished participant experience matters - Is comfortable working with a professional whose expertise is highly specialized Experience with platforms such as Kajabi, Circle, Mighty Networks, Podia, Thinkific, Teachable, Squarespace, WordPress, Zoom, Stripe, ConvertKit, Mailchimp, or similar tools is helpful, but I am more interested in your ability to build and manage systems than in expertise with one particular platform. An Important Part of This Role Because my work involves families and children, you may encounter sensitive personal or educational information. Confidentiality, discretion, professionalism, and careful handling of participant information are essential. I will provide access only to the systems and information necessary for your work. How We Might Start I am looking for someone who would be interested in beginning with a defined initial project, rather than immediately committing to a large ongoing role. The initial project would be to help me take the first group offering from concept through launch. If it is a good fit for both of us, I would be interested in continuing with ongoing support as the business develops. I anticipate this initially being a part-time/flexible role, with the possibility of ongoing monthly work. I am looking for someone who can become a thoughtful, reliable implementation partner, not simply someone who completes a list of administrative tasks.
