Online Coaching Program Manager – Ongoing Retainer Role

About This Opportunity I'm looking for a dedicated Coaching Program Manager to become the operational backbone of my coaching business. This is a retainer-based role (not a one-time project) for coaches who are ready to scale but don't have the bandwidth to manage the backend themselves. What You'll Manage Program Operations & Funnels: Set up and optimize coaching program funnels (leads → enrollment → delivery → retention) Create and organize program assets (modules, workbooks, templates, resources) Manage student/client enrollments, onboarding sequences, and lifecycle workflows Track program metrics and optimize conversion rates at each stage Platform Management: Administer coaching platforms: Kajabi, Thinkific, GHL (or similar) Ensure smooth integrations between platforms (email, payments, automations) Troubleshoot technical issues and keep systems running smoothly Maintain organized, accessible resource libraries Growth Without Paid Ads: Build a sustainable organic social media strategy aligned with program content Repurpose program materials into social content (LinkedIn, Instagram, TikTok, Facebook) Coordinate email sequences and nurture campaigns Help establish the coach as a thought leader in their niche organically Client/Student Experience: Manage communication workflows and response times Monitor student progress and engagement Flag at-risk students for coach intervention Create accountability systems that keep students engaged The Right Fit You're ideal if you: Have hands-on experience with Kajabi, Thinkific, GHL, or similar coaching platforms Understand how coaching funnels work (discovery → decision → delivery → retention) Are comfortable with organic social media strategy (not just posting—actual strategy) Are detail-oriented and can build systems coaches can rely on Think operationally (not just tactically) — you see how pieces connect Communicate clearly about what's working and what needs adjustment What This Looks Like Recurring commitment: 15-20 hours/week initially, potentially growing Scope: Full program operations ownership—you're the go-to person for program backend Collaboration: You work closely with me to understand my coaching philosophy and student needs Tools: Kajabi/Thinkific/GHL + email + social platforms + analytics Growth: As the program scales, your role scales too (potential for higher retainer)
