Open-Source Inventory & POS Consultant Needed – Furniture Retail, Laybye & WooCommerce Integration We are looking for an experienced ERP/POS consultant and developer to research, recommend, install, configure, and customize an open-source inventory management and Point of Sale (POS) system for an established furniture retail business. The system will primarily be used on Windows-based computers in our physical retail store and must integrate with our existing WooCommerce e-commerce website. We are not committed to a particular software platform. The successful consultant should evaluate suitable open-source solutions such as ERPNext, Dolibarr, Odoo Community, uniCenta POS, Chromis POS, Axelor, Flectra, or other appropriate alternatives, and recommend the best solution for our requirements. Phase 1 – Research & Software Recommendation Before implementation, we want the consultant to research and compare suitable open-source solutions. Please consider: Ease of use for retail staff POS functionality Inventory management Furniture retail suitability Laybye/layaway functionality WooCommerce integration Customer account management Supplier and purchasing management Reporting Windows compatibility/access Offline/local operation where practical Data ownership Backup and recovery Reliability Security Ease of future customization Quality of open-source/community support Availability of developers for future maintenance Long-term costs Scalability to additional branches We would prefer a solution that does not require expensive recurring licence fees for essential functionality. The consultant should provide a shortlist of approximately 3–5 suitable systems, explain the advantages and disadvantages of each, and recommend the best option for our business. Phase 2 – Installation & Configuration After we agree on the software, the freelancer should install and configure the selected system. This should include: POS setup Inventory setup Customer database Supplier management Purchasing and stock receiving User accounts and permissions Product categories Product variations Product images Pricing VAT/tax configuration Barcode support Receipt/invoice printing Returns and refunds Quotations Reporting Backup and restore procedures Laybye/Layaway Functionality Laybye functionality is a very important requirement. Our customers should be able to select furniture, pay a deposit, and make additional payments over time before collecting or receiving their goods. The system should therefore support, either natively or through customization: Creating a laybye sale Initial deposit Multiple instalment payments Recording each payment Outstanding balance calculation Payment history Due dates/payment schedules where required Customer statements Laybye status Fully paid status Cancellation of a laybye Refund/credit rules Holding/reserving stock against a laybye Converting a completed laybye into a final sale Printing or emailing receipts after each payment We are open to customization if the recommended ERP/POS does not provide all these features natively. Inventory Requirements As a furniture retailer, inventory management is extremely important. We need: Stock on hand Stock available Stock reserved Stock on laybye Stock sold but awaiting delivery Stock on order from suppliers Stock receiving Stock adjustments Stock transfers Low-stock alerts Product cost Selling price Gross profit reporting It should also accommodate products with variations such as: Colour Size Fabric/material Finish Model Brand WooCommerce Integration The selected system must integrate with our WooCommerce online store. Ideally, there should be one central inventory database, so that products sold online or through the physical store automatically update available stock. Integration should include as much as possible: Product synchronization SKU synchronization Inventory/stock synchronization Price synchronization Product variation synchronization Online order import Customer synchronization Order status updates Automatic inventory adjustment We want to avoid manually maintaining separate inventory records for the physical store and online store. Reporting The system should provide useful management reports, including: Daily sales Weekly/monthly sales Sales by salesperson Sales by product/category Gross profit Inventory valuation Stock movement Best-selling products Slow-moving products Outstanding laybyes Laybye payments received Customer balances Supplier purchases Future Scalability We want a system that can grow with the business. Future enhancements could include: Multiple retail branches Centralized inventory Multiple warehouses Delivery scheduling Delivery tracking Customer SMS/WhatsApp notifications Loyalty programme Gift vouchers Payment gateway integration Accounting software integration Mobile stock checking/scanning Advanced reporting and dashboards These future features are not necessarily required in the initial implementation, but the recommended platform should ideally allow them to be added later. Deliverables The freelancer will be expected to: Understand our business requirements. Research suitable open-source ERP/POS platforms. Compare approximately 3–5 suitable solutions. Recommend the best solution and explain why. Install the selected system. Configure it for our furniture retail business. Implement/customize laybye functionality. Integrate it with WooCommerce. Configure users, permissions and security. Configure reporting. Test the complete system. Provide documentation. Train key staff remotely. Assist during initial rollout/go-live. Who We Are Looking For We prefer someone who has experience implementing more than one ERP/POS platform and can therefore provide an independent recommendation.
