Operations Coordinator, COO Office Reports To: Chief Operating Officer (COO) Employment Type: Part-time (10 hours per week) Location: Remote About the Role Adoskope is hiring an Operations Coordinator to support the COO's office. This role owns the day-to-day upkeep of our RFP tracking system, keeping the Monday.com board and Google Drive proposal files accurate, organized, and audit-ready, while also providing broader administrative support to the COO. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple deadlines across tools and teams. Key Responsibilities RFP & Proposal Board Management • Own and maintain the RFP tracking board in Monday.com: update statuses, owners, deadlines, amount and next steps daily • Organize and maintain the RFP file structure in Google Drive, including naming conventions, version control, and archiving of closed opportunities • Monitor incoming RFP/RFQ opportunities and flag key deadlines to the COO and proposal team • Coordinate document collection, formatting, and submission logistics for proposal packages • Maintain RFP due dates, review checkpoints, and follow-ups Executive & Administrative Support • Draft routine correspondence as needed • Coordinate internal and external meetings, including across time zones Operations & Tools • Maintain organizational systems across Monday.com, Google Drive, and Slack • Document and maintain SOPs for recurring administrative processes Communication • Serve as the go-to point of contact for internal teams needing RFP status updates • Communicate professionally with external partners and vendors as directed by the COO Qualifications • 2+ years of experience in an administrative, coordinator, or executive support role • Proficiency with Monday.com (or a comparable project management tool) and Google Workspace (Drive, Docs, Sheets, Calendar) • Strong organizational skills with the ability to manage multiple deadlines and priorities simultaneously • Excellent written and verbal communication • High discretion and sound judgment with confidential or sensitive information • Self-directed and comfortable operating in a remote, fast-paced environment • Familiarity with Slack Nice to Have • Prior experience supporting U.S. federal RFP, proposal, or business development processes • Experience supporting a C-suite executive
