Operations & Finance Manager

We are seeking a high-output, execution-focused Operations & Finance Manager to bring structure, visibility, and accountability across Interrupt Media. This is an operations-heavy role. You will own workflows, SOPs, cross-departmental execution, and reporting across the business — with lighter, AI-automated finance visibility work layered on top. This is not a bookkeeping, accounting, or finance-department role, and it is not executive support or high-level strategy. The focus is building systems, enforcing process, and ensuring execution across Marketing, Operations, and Client Services. This role owns the day-to-day operational and financial systems of the business, ensuring: -Clear visibility into revenue, margin, and utilization -Consistent execution of workflows and SOPs -Accurate reporting across all departments Core Responsibilities 1. Operations Management -Develop, document, and optimize internal workflows and SOPs across departments — not just finance/accounting processes. -Monitor team utilization and capacity planning. -Track KPIs across departments (Marketing, Operations, Client Services). -Support recruitment operations including coordination with hiring managers and onboarding. -Implement and maintain operational tools and automation systems. -Improve cross-functional communication processes. -Identify inefficiencies and recommend operational improvements. -Provide structured reporting to leadership on performance and risks. 2. Finance Operations (lighter scope, AI-assisted) -Maintain financial dashboards and reports for executive visibility into revenue, margin, and utilization. -Oversee client billing and invoicing accuracy and timeliness. -Monitor cash flow and support budgeting/forecasting initiatives. -Use AI and automation tools to streamline financial reporting and reduce manual finance work. 3. Executive Support -Manage executive calendars, scheduling, and meeting coordination across time zones. -Coordinate internal and external meetings, including client and partner calls. -Prepare meeting agendas, documentation, and follow-up summaries. -Manage executive inbox organization and prioritization. -Draft and edit communications on behalf of leadership. 4. Administrative & Coordination Support -Track key action items and ensure timely follow-through. -Organize and maintain digital files, reports, and documentation. -Support contract preparation and document routing. -Assist in travel planning and logistics coordination (if applicable). -Support vendor communication and coordination. 5. Operational Assistance -Assist in preparing reports, presentations, and internal updates. -Support cross-department coordination initiatives. -Track strategic projects and milestone timelines. -Help ensure leadership priorities are executed efficiently. What Success Looks Like (First 60 Days) -Standardized and documented workflows across key cross-departmental processes -Clear visibility into revenue, margin, and utilization -Accurate and consistent reporting systems in place -Reduced operational inefficiencies and manual work through the development of AI apps and agents that enhance team productivity -Leadership has real-time clarity into business performance Tools / Systems Claude Code / Claude, Loveable, Glean, Accelo, Asana, Salesforce, Airtable, Make.com, GHL, Google Workspace Qualifications -3–6+ years in Operations or RevOps within an agency, digital marketing, or online/tech business — this is not primarily an accounting, bookkeeping, or finance-department role, and candidates whose experience is confined to finance/accounting process ownership will not be a fit. -Demonstrated experience managing workflows, SOPs, or projects across multiple departments (not limited to finance). -Working understanding of revenue, margin, and utilization tracking — enough to build and maintain visibility, not run the finance function. -Experience in agency or service-based business models is a plus. -Highly organized and process-driven. -Comfortable working in fast-paced, evolving environments. -AI-forward mindset (automation, systems thinking). -Proficiency with Claude Code or the ability to become proficient quickly is required. Candidates should be comfortable using AI-assisted development and automation tools to build workflows, document processes, and improve operational efficiency. Work Schedule and Compensation -Expected Hours: 40 hours per week -Typical Shift: Monday to Friday, US Pacific Timezone -Work Arrangement: Remote -Salary: US $950.00 / monthly
