Operations Lead / Project Manager | Notion, Client Onboarding, Automation & Partnerships

We are hiring an Operations Lead / Project Manager to own clarity across our projects: who owns what, what is blocked, and what happens next, visible to everyone, all the time. WHAT YOU WILL OWN - Project coordination: keep course production, editing, design, marketing, and page-building moving across multiple concurrent client and internal projects - Client onboarding: make sure every project starts with the right assets, owners, timelines, and approvals visible from day one - Notion systems: build and maintain practical dashboards, project databases, SOPs, checklists, and templates that the team actually uses - Automation: cut repetitive manual work with Zapier, Make, or n8n where it genuinely saves time - Follow-through: track deadlines, blockers, dependencies, and next actions, and close the loop before something turns into a missed deadline - Partnerships outreach: research and contact potential partners, affiliates, and collaborators, manage the pipeline, and keep follow-ups alive - Reporting: short, honest status updates, with risks escalated early instead of after the fact YOU ARE PROBABLY A GREAT FIT IF - You have 3+ years in operations, project management, agency delivery, executive assistance, or online business management - You have coordinated contractors, creatives, and remote teams, not just tracked tasks - You know Notion hands-on: relational databases, dashboards, and templates, not just pretty pages - You are comfortable with Slack, Google Drive, ClickUp, and Zapier / Make / n8n or similar tools - You write clearly in English and have professional, client-facing judgment - You document decisions, clarify ownership, and close loops without being asked - You can organize messy, incomplete information without losing momentum - You can keep a reliable daily overlap with US Central Time WHAT THIS IS NOT This is not a "build me a Notion template" gig, and it is not a passive task-list role. It is also not a replacement for our internal Operations & Process Coordinator, you will work alongside them. THE DETAILS - Long-term, ongoing role (6+ months, we are looking for someone to grow with us) - 30+ hours per week - 5 to 10 USD per hour to start, with a clear path up as you take on more ownership - Fully remote HOW TO APPLY Start your proposal with the word HANDOFF so we know you read this.
