AI Operations Specialist (Claude, Zapier, Asana) | Full Time | Long Term

Empire Tax Advisors is a tax advisory and accounting firm based in New York serving dentists and business owners in all 50 states. We are a team of about 20 across tax, bookkeeping, sales, and marketing, and we are scaling fast by building our operations around AI. We are hiring a full time AI Operations Specialist to work directly with the CEO and implement AI across the firm. This is a build role. You will create systems, automate them, document them, and train the team to use them. What you will do: Implement Claude across the firm: SOPs, process documentation, org charts, delegation workflows Build and maintain Zapier automations connecting Asana, Slack, GoHighLevel, and Google Workspace Manage projects and task routing in Asana Turn Fathom meeting recordings into action items, SOPs, and follow ups Build AI agents for recurring firm workflows Stay current on new AI capabilities and keep making the team faster Document everything you build so the team can run it without you What we need: 2+ years as a virtual assistant, operations assistant, or automation specialist Hands on Zapier experience (multi step zaps and filters; webhooks a plus) Strong Asana skills Daily user of Claude, ChatGPT, or similar tools with strong prompting ability Excellent written English 40 hours per week with at least 4 hours of overlap with US Eastern time Self directed, fast learner, obsessed with efficiency Nice to have: GoHighLevel, Slack workflow builder, Make, basic API knowledge, experience building AI agents. This is a long term role with room to grow as our AI operations expand.
