Operations Specialist with Project Management

Hourly rate: $40/hr-$45/hr Hours: 4-5 hours per day, Monday to Friday, worked during US Eastern business hours Duration: 3 months (August through October), covering a team member's leave. Possible extension. Start: Late July preferred, so you get 1-2 weeks of handover with the person you're covering. Please apply only if you live in the EST timezone. This role requires daily availability during US Eastern business hours, including live event days. About us We're a small, established media and consulting company serving the events industry. We publish a weekly newsletter to 40,000+ subscribers and run a regular program of virtual events with sponsors and outside speakers. You'd work directly with the founder and a small remote team. What you'll do Newsletter production (weekly): - Build each issue in Kit (formerly ConvertKit) from copy we provide: formatting, images to spec, links, test sends, scheduling - Set up associated landing pages - QA every send before it goes out Virtual event management (recurring): - Set up events in Goldcast: event pages, registration, speaker access - Manage registration flows in Zapier (fully documented, click-by-click) - Prepare run-of-show documents and coordinate speakers and vendors ahead of each event - Support live event days: backstage coordination, tech checks, timing - Handle post-event follow-up: replay publishing and email sequences Coordination: - Communicate in Slack, keep project status current in Notion, follow our documented processes What makes this role unusual on Upwork Everything above has a current, step-by-step SOP. You're not inventing process, you're running a documented machine and keeping quality high. We need someone who reads the runbook, executes without hand-holding, and flags problems early. Requirements - Based in the EST timezone - 3+ years in newsletter production, virtual event ops, or marketing operations - Hands-on experience with an ESP (Kit/ConvertKit strongly preferred; Mailchimp, beehiiv, or ActiveCampaign acceptable) - Experience running events on a virtual event platform (Goldcast preferred; Zoom Events, Hopin, Airmeet, or similar acceptable) - Working knowledge of Zapier - Comfortable in Slack and Notion - Strong written English and fast, clear communication Nice to have - Events industry background - Circle (community platform) and basic Canva Do not send any AI applications, we won't read them
