Payroll & Accounts Payable Administrator

Be the transactional engine of the back office — prepare, process, and queue the work so approvals and reconciliation stay clean and fast. You prepare and queue; you never approve or release. CORE RESPONSIBILITIES AP Prepare AP payment runs per Michael's recommended schedule — enter and schedule vendor bills, verify payees, and queue the batch for Sarah's approval. Sarah releases; you do not. PAYROLL Process weekly multi-company payroll in Paylocity (SOLC · Option 1), including wage garnishments; it submits only after Sarah's approval. AR Draft invoices and pay applications across contract types — T&M tickets, fixed-price / progress (SOV) pay apps, unit, and milestone — from verified data, ready for Sarah's review. AR Run the routine collections ladder — statements at due date, reminders and calls at set intervals — and escalate disputes and blockers to Sarah. HR Execute new-hire setup in Paylocity — create records, send onboarding invitations, collect I-9 / W-4 / direct deposit — per Texas HR Team's standard, verify all information, finalize, then ensure they are enrolled into their appropriate benefits package. Maintain documentation in Paylocity. NOT IN THIS ROLE — Approving or releasing payments or payroll — approval is Sarah's, with a second approver above the threshold. — Deciding what gets paid when — Michael recommends the schedule, Sarah decides. — Reconciling the accounts you pay from, or keeping the books — that is Michael's, held independent. — Setting HR policy, or creating POs / vendor setup — those are Texas HR Team's and Katy's.
