Pharmetika Pharmacy Software Expert / Implementation & Training Consultant

About the Role We are a new 503A compounding pharmacy implementing Pharmetika as our primary pharmacy management system. Our team is new to Pharmetika, and we are looking for an exceptionally experienced Pharmetika consultant who can help us implement the platform correctly, train our team, troubleshoot workflows, and make sure we are taking advantage of its capabilities. This is not a general pharmacy software consulting role. We are specifically looking for someone with substantial, hands-on experience using and configuring Pharmetika. Our ideal candidate has worked with Pharmetika full-time in a pharmacy environment, managed a Pharmetika implementation, served as a system administrator/super-user, or previously worked directly for Pharmetika. Experience with 503A compounding pharmacy operations and Electric Lab is highly preferred. What We Need Help With The consultant will work directly with our operations and pharmacy team to configure Pharmetika, establish workflows, train employees, and answer questions as we build out our operation. Areas of focus include: Pharmetika Configuration & Administration Help us understand and properly configure Pharmetika for our pharmacy's workflow, including organization settings, users, permissions, prescribers, patients, products, organizations/accounts, and other administrative functionality. We want someone who understands not just where a setting is located, but how Pharmetika should be configured in a real pharmacy environment. Billing, Pricing & Invoicing We need significant assistance with Pharmetika's financial and invoicing capabilities, including: Setting up and managing invoicing workflows Organization-specific/custom pricing Different pricing structures for different organizations or accounts Understanding how pricing flows through prescriptions/orders Billing organizations versus patients where applicable Invoice creation and management Payment and transaction workflows Reporting and reconciliation Troubleshooting pricing or invoicing discrepancies Organizations, Prescribers & Account Management Help us develop efficient workflows for onboarding and managing organizations, clinics, prescribers, and associated accounts. This includes understanding relationships between organizations, providers, patients, pricing, orders, and other records within Pharmetika. Order Processing & Fulfillment Workflows Help our staff establish efficient workflows from prescription/order intake through dispensing and fulfillment. We specifically need guidance around: Prescription/order entry Patient and prescriber records Organization assignment Shipping address management and changes Order status and fulfillment workflows Shipping and tracking Refills Corrections and exceptions Reporting and operational visibility We want to understand both the standard workflow and how experienced Pharmetika pharmacies handle unusual situations. Electric Lab Integration Experience with Electric Lab is highly desirable. We need assistance understanding and configuring the relationship between Pharmetika and Electric Lab, including: Building and maintaining formularies Adding compounds/formulations Configuring products and related data correctly Ensuring information is mapped appropriately between the systems Understanding what data originates in each platform Troubleshooting communication/synchronization issues Establishing a clean workflow between pharmacy operations and lab/compounding operations Someone who has personally implemented or managed Pharmetika + Electric Lab together would be an exceptional fit. Employee Training A major part of this engagement will be training our team. You should be comfortable joining Zoom sessions with employees, screen-sharing, and walking them through workflows in real time. We would also like your help developing our internal Pharmetika training library. This may involve recording structured Zoom training sessions or helping us create short training videos covering specific workflows. Our goal is to eventually have documented processes and training materials that allow new employees to learn the system efficiently. Ongoing Consulting After the initial setup and training period, we would like to retain the right person as an ongoing part-time Pharmetika consultant. Our team will inevitably encounter questions, edge cases, and new configuration requirements as volume increases. We want an expert we can contact who knows the platform deeply and can quickly point us toward the correct solution. Ideal Candidate We are particularly interested in candidates with one or more of the following backgrounds: Former Pharmetika employee Pharmetika implementation or onboarding specialist Pharmacy operations professional who used Pharmetika extensively Pharmetika system administrator or super-user Operations leader at a pharmacy running Pharmetika 503A compounding pharmacy professional with extensive Pharmetika experience Experience implementing Pharmetika and Electric Lab together We strongly prefer someone who has worked with the software daily in a production pharmacy environment, rather than someone who has only had limited exposure to it. Knowledge of 503A compounding pharmacy workflows, sterile and/or non-sterile compounding operations, prescription processing, fulfillment, shipping, billing, and pharmacy operations is a major plus. What Success Looks Like We want our team to become highly proficient with Pharmetika and establish standardized workflows that are efficient, scalable, and easy to train. The consultant should help us move from: "How do we do this in Pharmetika?" to: "This is our standard Pharmetika workflow, and every employee knows how to execute it." We are looking for someone who can both solve immediate problems and help us design the right long-term workflows. Have you personally configured formularies or helped connect workflows between Electric Lab and Pharmetika? Have you worked for a 503A compounding pharmacy? Have you ever worked directly for Pharmetika or assisted with Pharmetika implementations/onboarding? Are you comfortable conducting live Zoom training sessions and helping us create recorded employee training videos? What is your current availability for ongoing part-time consulting? Please be specific about your Pharmetika experience. General experience with PioneerRx, Liberty, Computer-Rx, FrameworkLTC, BestRx, or other pharmacy management systems is useful, but it is not a substitute for direct Pharmetika experience for this engagement. Engagement Structure We expect the initial implementation and training period to require more involvement, followed by an ongoing part-time consulting relationship. The consultant will work remotely with our pharmacy and operations teams through Zoom, screen sharing, and scheduled training/troubleshooting sessions. We are open to hourly consulting or a recurring part-time arrangement for the right candidate.
