Summary

Looking for a Pipedrive CRM Implementation Specialist for a commercial construction company with about six to seven employees. The client currently uses a multi-tab spreadsheet to manage business relationships, project opportunities, submitted bids, backlog, and active projects. The goal is to replace the relationship- and opportunity-management portions with a simple Pipedrive system that improves follow-up, accountability, email visibility, and pipeline reporting without disrupting established processes. This is a relationship-driven business with long sales cycles, where opportunities may remain in preconstruction, design, financing, or client-approval stages for six to twelve months or longer. The selected consultant will work under the direction of Accredited AI, with all client communication, system design, and deliverables coordinated through us. Primary objectives: The completed system should help the client: - Organize architects, engineers, owners, owner representatives, institutional prospects, and previous customers - Prioritize high-value relationships - Track communication history, ownership, and next actions - Ensure opportunities do not remain buried in employee inboxes - Automate appropriate follow-up reminders - Track long-cycle construction opportunities - Manage bid and proposal status - Gain visibility into relationship activity and pipeline value - Migrate away from spreadsheet-based relationship and opportunity tracking - Preserve existing backlog and active-project reporting where migration does not yet provide clear value - Recommended platform The leading platform is Pipedrive Growth. Final configuration must be confirmed after reviewing the client’s data, Microsoft environment, and security requirements. The initial rollout will likely include three users, with the ability to add users later. Scope of work 1. Discovery and process mapping Meet with Accredited AI to review the client’s discovery information Review the existing sales-funnel spreadsheet Document the current relationship and opportunity workflow Identify which spreadsheet tabs and fields should migrate Identify which information should remain in the existing spreadsheet temporarily Recommend the final Pipedrive structure Identify implementation risks, missing data, and dependencies 2. Pipedrive configuration Configure Pipedrive to support two connected business processes. Pipeline 1: Relationship development Proposed stages: Target identified Research completed Introduction requested Initial contact Meeting scheduled Relationship nurturing Added to bidder list Qualified opportunity created Pipeline 2: Project opportunities Proposed stages: Opportunity identified Budget or preconstruction Bid/no-bid review Estimating Proposal submitted Client decision pending Funding or design pending Awarded Lost Deferred The final stages will be confirmed with Accredited AI and the client. 3. Custom fields and data structure Configure fields for information such as: Organization type Market segment Architect, owner, engineer, or owner representative Relationship priority Relationship owner Relationship strength Bidder-list status Last meaningful contact Next required action Project type Estimated project value Expected bid date Expected decision date Funding status Design or permitting status Proposal submission date Opportunity source Relevant CCG experience Win/loss reason Deferred-until date Notes and communication history The consultant should recommend the simplest usable structure and avoid unnecessary fields. 4. Spreadsheet cleanup and migration Review and map source spreadsheet fields Identify duplicates and incomplete records Create a data-cleanup plan Import approved organizations, contacts, and opportunities Preserve relationships between people, organizations, and projects Test the migration before final import Validate record counts and key fields Provide a migration report identifying imported, excluded, duplicate, and incomplete records Accredited AI and the client will assist with business decisions regarding duplicate or incomplete information. The consultant will be responsible for the technical mapping and migration. 5. Microsoft integration Subject to approval from the client’s IT provider: Configure Microsoft Outlook or Exchange email synchronization Configure Microsoft calendar synchronization Configure Microsoft Teams integration if appropriate Determine whether all emails or only selected communications should sync Document permissions and security implications Test email, calendar, and meeting activity Ensure private or unrelated messages are not unintentionally exposed Experience with Microsoft 365 security and Pipedrive permissions is important. 6. Workflow automation Create practical automations such as: Notify the relationship owner when a new contact is assigned Create a follow-up task after an initial meeting Flag priority relationships without a future activity Create reminders for inactive relationships Create a proposal follow-up task after submission Create long-term follow-up tasks for funding- or design-pending projects Alert the appropriate employee when an opportunity is deferred until a future date Notify management when an opportunity is awarded or lost Send appropriate Pipedrive updates to Microsoft Teams The system should automate administrative work without sending high-value client communications without human approval. 7. Reports and dashboard Create a management dashboard showing: Relationships by priority Relationships without a scheduled next action Overdue activities Architect and owner meetings Bidder-list status Qualified opportunities created Opportunities by market segment Pipeline value Submitted proposals Decisions pending Deferred opportunities Won and lost opportunities Reasons for losses Activity by relationship owner 8. Templates Configure or import approved templates for: Architect introductions Bidder-list requests Former-client reengagement Healthcare outreach Private-university outreach Networking-event follow-up Meeting follow-up Proposal follow-up Long-term project nurturing Templates will be supplied or approved by Accredited AI. The consultant may assist with field mapping and automation logic. 9. Testing and quality assurance Test all stages, fields, automations, integrations, and reports Test user permissions Create sample contacts and opportunities Verify task and notification behavior Correct configuration and migration issues Complete a formal pre-launch checklist Obtain approval from Accredited AI before launch 10. Training and documentation Provide: One administrator training session One end-user training session Recorded training sessions Written administrator guide Written user quick-start guide Data-entry standards Explanation of pipelines and stages Instructions for adding contacts and opportunities Instructions for recording next actions Instructions for using dashboards Automation and integration documentation 30 days of post-launch support Training should be practical and tailored to employees who are new to CRM software. Deliverables The project will be considered complete when the following are delivered: Approved CRM architecture Two configured Pipedrive pipelines Approved custom fields Cleaned and migrated client data Tested Outlook/Exchange and calendar integrations Teams integration, if approved Approved workflow automations Management dashboard and reports Configured communication templates User permissions and security settings Completed testing checklist Administrator and user training Recorded training sessions Written system documentation Migration report 30 days of post-launch support Estimated schedule We expect the implementation to take approximately six to eight weeks. Proposed milestones: Milestone 1: Discovery and system design Review source materials Map current process Submit CRM architecture and migration plan Milestone 2: Configuration Build pipelines Configure fields, permissions, and initial reporting Milestone 3: Data migration and integrations Clean and import approved records Configure Microsoft integrations Validate migrated information Milestone 4: Automation and reporting Build and test workflows Complete dashboards and reports Milestone 5: Training and launch Complete testing Conduct training Deliver documentation Launch the system Milestone 6: Post-launch support Correct issues Refine approved workflows Complete final handoff Required experience Applicants should have: Demonstrated experience implementing Pipedrive for small businesses Experience migrating data from Excel or Google Sheets Strong knowledge of pipelines, custom fields, activities, automations, permissions, and reporting Experience integrating Pipedrive with Microsoft Outlook, Exchange, calendars, and Teams Experience creating management dashboards Strong data-cleanup and migration skills Experience producing client-facing training and documentation Excellent written and spoken English Ability to explain technical decisions in plain language Strong attention to privacy, permissions, and data security Preferred experience Preference will be given to candidates with: Commercial construction or contractor CRM experience Experience with long-cycle, relationship-driven B2B sales Pipedrive certifications Microsoft 365 integration experience Experience working through agencies or as a white-label implementation partner Experience with Make, Zapier, Power Automate, or Pipedrive’s API Experience preparing systems for future AI-assisted workflows Important project requirements Do not contact the client directly without approval from Accredited AI. Do not recommend unnecessary software, add-ons, or custom development. All system designs must be approved before implementation. All client data must remain confidential. The selected consultant must sign a nondisclosure agreement. No client information may be used in a portfolio or case study without written approval. AI tools may not be used with client data unless specifically approved. The implementation must remain simple enough for a small team to use consistently. Estimating, pricing, project delivery, and accounting are outside the initial scope. Proposal automation is outside the initial scope and may become a separate project. Engagement structure This will be a fixed-price project divided into milestones.
