PODCAST PRODUCTION COORDINATOR We're looking for a highly organized, technically skilled Podcast Production Coordinator to own the full production lifecycle of our multiple podcasts — from guest outreach and pre-production planning through recording, post-production, and distribution. This role sits at the intersection of content strategy, audio engineering, and audience growth. You'll operate independently, communicate professionally, and deliver polished work on a consistent cadence. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ PRE-PRODUCTION • Participate in episode kickoff calls to align on goals, themes, and guests • Research each guest's industry, background, and recent work to inform episode strategy • Develop episode titles and editorial angles that resonate with our audience • Conduct pre-interview prep calls with guests to set expectations and gather key talking points • Maintain and update AI prompt templates used across the production workflow • Pitch new episode concepts and guest ideas on an ongoing basis • Send day-before-recording confirmation emails with logistics and prep notes ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ DAY OF RECORDING • Welcome guests and walk them through the recording process before we go live • Run a full audio/video check to confirm technical quality on all sides • Stay active during recording — manage screen shares, add on-topic interjections, and capture real-time show notes • Troubleshoot live technical issues quickly and with minimal disruption ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ POST-PRODUCTION • Download, label, and organize all raw recording files after each session • Perform audio repair and cleanup using iZotope RX or Adobe Podcast • Mix and master audio to broadcast-quality standards • Import assets into Adobe Premiere and edit full-length episodes • Record and integrate episode intros • Export finished episodes in required formats • Identify highlight-worthy clips from each episode • Edit clips for social media — tight, engaging, and platform-optimized • Source compelling b-roll, images, and effects to enhance clip content • Export all clips in required formats • Add captions to clips in Descript • Brief our graphic designer with episode details for cover art creation ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ DISTRIBUTION, ANALYTICS & STRATEGY • Schedule and publish episodes on Megaphone and YouTube • Draft and schedule social media posts using AI tools • Join regular content review and delivery meetings • Schedule and publish social media clips on a rolling calendar • Build and maintain episode landing pages on our website • Compile and deliver recurring analytics reports covering downloads, engagement, and growth trends ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ COMMUNICATIONS & GUEST RELATIONS • Manage all booking correspondence and guest outreach with professionalism and promptness • Vet guest inquiries against show criteria and audience fit • Track all tasks, timelines, and episode statuses in ClickUp • Send guests prep materials and obtain approval prior to recording • Notify guests and/or their PR contacts once an episode is officially scheduled • Send post-episode thank-you gifts • Available Monday–Friday, 9 AM–5 PM, unless otherwise communicated in advance ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ WHAT WE'RE LOOKING FOR • Proven experience in podcast production or a closely related audio/video production role • Hands-on proficiency with Riverside, Opus Clip, Adobe Podcast, Adobe Premiere • Strong editorial instincts — you know what makes a great clip • Excellent written and verbal communication skills for guest-facing correspondence • Highly organized with the ability to manage multiple episodes in parallel • Comfortable operating independently with minimal oversight • Experience with Megaphone, YouTube, and social scheduling tools • Familiarity with AI tools in a content production workflow is a strong plus
