AI-Powered n8n System for CRM and Document Management

Objective

We're looking for an experienced n8n automation specialist to design and build an AI-powered system that connects our CRM with financial and document workflows. If you've built serious n8n + LLM integrations before, we'd love to hear from you. Design and implement an intelligent automation system built on n8n, integrated with the CRM platform, to enable AI driven reading, processing, and management of financial and business documents, reducing manual work and improving accuracy across operations. Business Automation * Proposal generation * Report creation * Board presentations * CRM updates * File organization * Task management * Project tracking * Approval workflows * Document generation * Internal processes Where and How AI Should Be Applied For the system to genuinely function as an AI system (not just a rules based automation pipeline), AI needs to be embedded at these specific points: * Document understanding: AI models should read scanned receipts, invoices, and contracts, extract structured data (amounts, dates, vendors, line items), and handle varied formats and layouts, not just fixed templates * Classification and categorization: AI should classify expenses, documents, and CRM records into correct categories based on content and context, learning from corrections over time * Natural language processing for CRM: AI should read and interpret CRM notes, emails, and messages, then update relevant fields or trigger the right workflow automatically * Content generation: AI should draft proposals, reports, board presentations, and summaries using CRM and financial data as source input, producing a first draft a human can review and finalize * Anomaly detection: AI should flag unusual transactions, duplicate invoices, or inconsistencies in reports before they reach dashboards * Summarization: AI should condense large volumes of data (transactions, project updates, CRM activity) into concise executive summaries * Decision support in approval workflows: AI should pre-check requests against rules and history, recommend approval or flag for review, speeding up human decision making * Conversational interface: a chat based interface (connected through n8n) should let users ask questions like "what were our expenses last month" or "update this deal stage" and get answers or actions performed automatically * Continuous learning: the system should improve categorization and extraction accuracy over time based on user corrections and feedback Technical Requirements * Built on the n8n automation platform * Two way integration with the CRM system (read and write access) * Integration with an AI/LLM provider for document understanding, classification, and content generation * OCR service connected for document recognition * Automated triggers and workflow scenarios * Connections to external services: accounting software, file storage, email/messaging for notifications * Dashboards and reporting panels * Secure data transfer and access control between all connected systems
