Program Manager (5 Hours/Month, Flexible & Asynchronous)

We are a nonprofit organization dedicated to making STEM education engaging and accessible for K-12 students through hands-on learning, digital projects, and interactive resources. We are seeking a highly organized, efficient Program Manager to keep our remote team aligned, organized, and moving forward. This is an ongoing, ultra-part-time position requiring roughly 5 hours per month. Because our team balances various school and professional commitments, meeting schedules will vary and will not be on a fixed weekly routine. We rely heavily on asynchronous communication, structured project management tools, and clear documentation to get things done efficiently. If you are a master organizer who can optimize a few hours a month to keep a team executing seamlessly, we want to hear from you. Key Responsibilities Team Coordination: Oversee and coordinate the workflows of our distributed team, which includes undergraduate interns, high school volunteers, our social media content creator, and our grant writer. Milestone & Project Tracking: Ensure everyone knows their deliverables, deadlines, and responsibilities. Follow up on key milestones to prevent bottlenecks. Flexible Meeting Management: Coordinate, agenda-map, and occasionally facilitate team touchpoints or check-ins. (Note: Meeting times fluctuate based on team availability, so flexibility is key). Process Optimization: Keep our shared workspaces organized, updated, and intuitive so the team can collaborate asynchronously without friction. Required Skills & Experience Proven Management Experience: Background in program management, project management, or team leadership (experience managing student interns, volunteers, or remote creative/technical teams is highly valued). Asynchronous Communication Master: Exceptional written communication skills. You know how to give clear direction, check in on tasks, and provide updates without needing a live 30-minute meeting. Highly Organized & Time-Efficient: Ability to maximize 5 hours a month by focusing purely on high-impact coordination and keeping administrative overhead low. Time Zone Alignment: You must have a flexible schedule that allows you to overlap and collaborate during US Eastern Time Zone (EST/EDT) business hours. While a fixed daily schedule is not required, live check-ins and team coordination will take place within this window. English Fluency: Professional, native or bilingual fluency in English (both written and spoken) is required. You must be able to communicate complex ideas clearly and write polished, professional communications asynchronously. Tech-Savvy: Proficiency with modern collaboration tools. Passion for the Mission: A genuine interest in STEM education, youth outreach, or nonprofit operations is a major plus. Project Scope & Schedule Hours: ~5 hours per month. Timeline: Ongoing, long-term collaboration. Schedule: Highly flexible and variable. You will need to check in periodically throughout the month rather than working a single 5-hour block.
