MUST BE AVAILABLE UNTIL 2PM PACIFIC STANDARD TIME About the Role We are seeking a highly organized, proactive, and detail-oriented Project Manager & Operations Assistant to manage day-to-day client communications, streamline internal task management, and oversee developer execution. In this role, your primary mission is to make business operations run seamlessly. You will act as the central hub between our clients and development teams—triaging emails, translating requests into clear technical tickets, tracking task progress, and ensuring high-quality deliverables through final QA before anything reaches the client. If you are a self-starter who thrives on taking initiative, creating order out of chaos, and freeing up founder bandwidth, this role is for you. Key Responsibilities 1. Client Communication & Inbox Management Monitor incoming client emails, forms, and request channels promptly. Serve as the primary point of contact for day-to-day client inquiries, status updates, and request intake. Triage urgent requests and handle client communication professionally and efficiently. 2. Task Delegation & Developer Ticketing Translate client requests into clear, actionable, and structured tickets for developers (including detailed specifications, assets, and acceptance criteria). Assign, prioritize, and track tasks using our project management software. Coordinate timelines with developers to ensure project milestones and deadlines are consistently met. 3. Quality Assurance (QA) & Delivery Thoroughly test and perform QA on completed developer tasks to ensure work strictly aligns with client requirements before sign-off. Deliver polished, completed tasks back to clients with clear explanations. 4. Operational Support & Initiative Take ownership of day-to-day administrative and operational tasks to optimize founder focus. Proactively identify process bottlenecks, suggest workflow improvements, and build internal documentation/SOPs as needed. Requirements & Qualifications Experience: Proven track record in project management, agency operations, or as an executive/operations assistant (experience working with web design, e-commerce, or development teams is a huge plus). Technical Communication: Ability to translate non-technical client requests into clear technical specifications for development teams. Attention to Detail: Excellent eye for quality control during QA testing. Organization Skills: Exceptional ability to prioritize competing tasks and manage multiple projects without dropping the ball. Communication: Excellent written and verbal English skills with strong professional writing ability. Ownership Mindset: Self-motivated, resourceful, and eager to take initiative to solve problems before they escalate.
