QuickBooks Catch-Up Bookkeeper - Car Dealership

We are a used car dealership in Texas. Our 2025 books were never done in QuickBooks Online and we need them rebuilt and reconciled in three weeks for a September 15 tax filing. We sell mostly retail (the customer gets bank financing) plus a smaller number of in-house financed deals. This is a catch-up and cleanup project with a hard deadline, not ongoing bookkeeping. If it goes well there is ongoing monthly work after. WHAT THE JOB INVOLVES - Rebuild 12 months of 2025 in QuickBooks Online from source documents - Enter opening balances from our filed 2024 tax return - Build a deal register for every vehicle sold in 2025 (roughly 250 to 400 units) from mixed sources: our DMS export, state title filings, floor plan lender statements, and lender funding notices. Our DMS data is incomplete, so part of this job is reconstructing the full list and proving it is complete - Post monthly summary journal entries for vehicle sales, cost of vehicles sold, and inventory movement - Reconcile three bank accounts for all 12 months - Reconcile two floor plan (inventory financing) lines to lender statements - Produce an inventory rollforward that ties beginning inventory plus purchases minus cost of sales to ending inventory - Categorize operating expenses from bank feeds REQUIRED - Real experience with inventory-based businesses and cost of goods sold, not only service business bookkeeping - QuickBooks Online, journal entries, and bank reconciliation at a high level - Comfort working from messy and incomplete source documents, spreadsheets and PDFs - Strong Excel or Google Sheets - At least 3 hours a day of overlap with US Central Time - Able to start within 3 days and commit real hours NICE TO HAVE - Car dealership, equipment dealer, or any floor plan / inventory financing experience - Experience with US auto lenders or a DMS (DealerCenter, CDK, Dealertrack) TWO ROLES, ONE POSTING 1. Lead bookkeeper, 12 to 15 hrs per week. Owns the chart of accounts, the deal register logic, and reviews the work. For the right person with dealership or floor plan experience we will pay above the posted range. 2. Support bookkeeper, up to 40 hrs per week. Data entry and bank reconciliation. We buy a truck at auction for $18,000 using a floor plan line, and the floor plan lender pays the auction directly, so no cash leaves our bank. We spend $1,200 on reconditioning. We sell it for $24,500 and the buyer's bank wires us $25,900, which is the $24,500 sale price plus $1,400 of tax, title and license we collected on their behalf. We then pay the floor plan lender $18,150, being $18,000 principal and $150 interest. Give the journal entries and tell us the gross profit on the vehicle. 2. An in-house finance customer pays us $450. Of that, $310 is loan principal, $120 is interest, and $20 is a late fee. What is the journal entry? 3. Our DMS is missing roughly a third of our 2025 deals. What sources would you use to rebuild the complete list of vehicles we sold, and how would you prove to us that the list is complete?
