QuickBooks Online Construction Expert – Projects & Invoice Setup

QuickBooks Online (QBO) Construction Accounting & Invoice Setup Specialist We are looking for an experienced QuickBooks Online (QBO) consultant with construction industry experience to review our current QBO setup and help us improve how we manage jobs, change orders, customers, and invoices. We operate a commercial asphalt maintenance/construction company and want someone who understands the way construction companies use QBO—not just a general bookkeeping setup. 1. Review Our Current QBO Job Setup * Review our current QBO setup for customers, jobs, and sub-customers. * Advise whether we should continue using Sub-Customers or transition to QBO Projects. * Specifically evaluate how Projects would work for our type of construction work. * Determine how change orders (COs) can be handled and tracked. * Recommend the cleanest and most efficient structure for tracking individual jobs, costs, revenue, and change orders. * Explain your recommendation and help us implement the best setup. 2. Salesperson Tracking * Review how salesperson information is currently tracked. * Determine the best way to track the salesperson responsible for each job/customer. * We believe this may need to be handled through a custom field, but would like an expert recommendation. 3. Redesign QBO Invoice Templates We need our QBO invoices redesigned to better match our existing QuickBooks Desktop (QBD) invoice layouts. We have separate layouts for our Las Vegas and Reno operations, and would like the QBO setup to allow for two different invoice styles/templates. We are open to modernizing the design slightly while keeping the same important information and overall functionality. Invoice Requirements Please help us configure the invoice templates so they: * Clearly display the Job Name * Include a Unit of Measurement column (SF, LF, EA, etc.) * Remove the Product/Service column if possible * Remove unnecessary Ways to Pay information * Improve the placement/design of the: * Invoice Number * Invoice Date * Due Date * Keep all required company and project information * Include our contractor’s license number and license limit, associated correctly with our company name/address * Maintain the information currently included on our QBD invoices * Create two usable styles/templates for our Las Vegas and Reno operations 4. Sales Tax Setup We would like to determine whether we can: * Set No Tax as the default for our normal construction/service invoices * Still have the ability to easily add sales tax when needed, such as for sign work or retail sales * Make sure the setup is configured correctly in QBO without creating unnecessary tax issues 5. Overall Recommendations We are looking for someone who can look at our existing setup rather than simply make changes based on our instructions. We want an expert who can tell us: * What we are doing correctly * What we should change * Whether QBO Projects or Sub-Customers is better for our business * How to structure jobs and change orders * How to make our invoices cleaner and more professional * Any other QBO improvements you see that would benefit a construction company Ideal Freelancer The ideal person will have: * Strong QuickBooks Online experience * Construction industry experience — required/preferred * Experience with QBO Projects * Experience with construction job costing * Experience setting up change orders * Experience creating/customizing QBO invoice templates * Understanding of sales tax configuration * Experience working with companies that previously used QuickBooks Desktop * Ability to explain recommendations clearly and train us on the new setup We are looking for someone who can act as both an advisor and trainer, not just someone who will make changes without explaining them. Please include examples of construction companies you have helped with QBO, particularly if you have experience transitioning or advising on Sub-Customers vs. Projects. We would prefer to work with someone who can first review our current QBO setup, make recommendations, and then help us implement and train our team on the new system.
