Position Overview: Looking for a highly organized, dependable, and self-motivated Administrator who is comfortable working independently in a fully remote environment. The ideal candidate is a self-starter who can manage competing priorities, anticipate needs, and quickly pivot when requirements change. This individual will provide administrative and operational support across the organization, including timekeeping, expense report processing, travel coordination, document management, scheduling, and other general administrative responsibilities. Experience supporting a government contractor is strongly preferred, and familiarity with government travel regulations is a plus. Key Responsibilities - Provide day-to-day administrative and operational support to leadership, employees, and program personnel. - Review, track, and process employee timekeeping submissions and assist with resolving discrepancies. - Prepare, review, and process employee expense reports and supporting documentation. - Assist with business and government-related travel planning, including travel arrangements, itineraries, documentation, and expense reconciliation. - Support compliance with applicable company policies, contract requirements, and government travel guidelines. - Coordinate meetings, calendars, appointments, and internal communications as needed. - Maintain organized electronic records, administrative files, spreadsheets, and supporting documentation. - Track deadlines, outstanding actions, and required submissions and proactively follow up with appropriate personnel. - Assist with preparing and formatting correspondence, reports, presentations, and other business documents. - Communicate professionally with employees, management, customers, vendors, and other stakeholders. - Handle sensitive company, employee, and customer information with appropriate discretion and confidentiality. - Identify administrative issues and take initiative to resolve them or escalate them to the appropriate team member. - Adapt quickly to changing priorities and provide support across multiple functions as business needs evolve. - Perform additional administrative and operational duties as assigned. Required Qualifications - Previous administrative, executive support, operations support, or similar professional experience. - Demonstrated experience working successfully in a remote environment. - Experience with timekeeping and expense report processing. - Strong organizational and time-management skills with exceptional attention to detail. - Ability to prioritize multiple assignments, meet deadlines, and pivot quickly as priorities change. - Self-motivated and able to work independently with limited day-to-day supervision. - Strong written and verbal communication skills. - Professional judgment and discretion when handling sensitive or confidential information. - Proficiency with common business productivity tools, including email, calendars, spreadsheets, word processing, and virtual collaboration platforms. - Ability to learn new systems, processes, and administrative requirements quickly. Preferred Qualifications - Previous experience working for or supporting a government contractor. - Knowledge of or experience with government travel regulations and processes, including the Federal Travel Regulation (FTR) and/or Joint Travel Regulations (JTR). - Experience supporting Department of Defense, federal government, or government contracting organizations. - Familiarity with government contracting administrative processes and documentation. - Experience coordinating travel and reconciling travel-related expenses. Security Clearance No security clearance is required for this position. The successful candidate must be able to appropriately handle company-sensitive and customer-related information and follow all security and confidentiality requirements applicable to the role. Work Environment This is a fully remote position. The successful candidate should be comfortable managing responsibilities independently, communicating effectively in a distributed work environment, and remaining responsive during established business hours. We support mission-focused government and defense customers, the Administrative Assistant must be dependable, detail-oriented, and comfortable operating in an environment where priorities may change quickly.
