Under one roof we run a property management company (200+ apartments across ~34 properties), a Keller Williams-affiliated brokerage, and a multifamily acquisitions arm — all sharing one back-office finance desk. The books run on documented procedures, templates, and AI-assisted workflows, so the work is process-driven, not guesswork. THE ROLE You'll run our day-to-day bookkeeping under our Financial Controller. The core of this job is bank feeds: keeping QuickBooks Online bank feeds and AppFolio bank feeds cleared, matched, and coded every single day across multiple QBO company files and one AppFolio portfolio. Second is month-end close — reconciliations and standard journal entries so the Controller can close on time. As you prove yourself, you'll steadily take over more of the Controller's work. We're not hiring a gig worker for a project. We're hiring a teammate — someone who joins our team calls, knows our properties by name, and is still here in three years. The standard is simple: books never more than two business days behind. How the work is set up: you'll log into a company Mac via remote desktop. All software, bank feeds, logins, and files stay on our machine — nothing to install, nothing to configure, and no company credentials on your own computer. You just need a reliable computer, stable internet, and a quiet place to work. WHAT YOU'LL DO 1. Bank feeds — daily (the biggest part of the job) • Clear and code QuickBooks Online bank feeds across all company files — every transaction matched, categorized, and assigned to the right property/class • Clear and code AppFolio bank feeds — deposits, tenant payments, vendor payments, and transfers matched to the right property and GL account • Keep both systems in sync: AppFolio and QBO agree, every day • Flag anything that looks off — duplicates, unusual charges, things that don't tie out. You're the first line of defense 2. Month-end close • Reconcile bank and credit card statements monthly across ~34 accounts; run down every discrepancy • Post standard journal entries from our templates (AppFolio-to-QBO transfers, accruals, intercompany) • Prepare monthly financial reports and owner statements for ownership and property managers • Keep the books close-ready so the Controller can produce financials on schedule 3. AP / AR and routine • Record every vendor bill on receipt, code it correctly, and prepare payment runs for Controller approval on a fixed semi-monthly schedule • Invoice our third-party management clients and follow up on open balances • Run standard reports from our pre-built Google Sheets templates (e.g., refresh a pivot table and report maintenance expense by property), typically within 24 hours of a request • Track property tax payments and insurance renewals; assist with annual budgets and year-end statements • Prepare clean year-end workpapers and tie-outs for our outside CPA firm 4. Grow into the Controller's work • As you earn trust, you'll take over pieces of the Controller's desk: deeper close ownership, reconciliation review, reporting, and process improvement. This seat is built to expand. REQUIRED • 2–4+ years of bookkeeping or accounting experience; property management or real estate bookkeeping strongly preferred • QuickBooks Online — proficient, especially bank feeds, rules, and reconciliations (multi-entity experience a big plus) • AppFolio — hands-on experience strongly preferred; if not AppFolio, then Buildium / Yardi / Rent Manager and the ability to learn AppFolio fast (it's half the job) • Solid understanding of GAAP and real estate accounting basics — rent rolls, security deposits, escrow/trust accounts, owner distributions • Strong Excel / Google Sheets skills: comfortable pasting data into an existing pivot table, refreshing it, and reading the results (we test this — short and practical) • Clear written and spoken English; comfortable on a quick video call with the Controller • Available during US Central Time business hours (UTC-6/-5), 40 hours/week • Reliable computer and stable high-speed internet (remote desktop needs it) • High integrity and discretion — you'll handle sensitive financial information under documented approval controls PREFERRED • Multi-entity or intercompany bookkeeping • Experience preparing owner statements or CAM reconciliations • Familiarity with Section 8 / HAP payment tracking on tenant ledgers • Experience working with a Controller or CPA on month-end close PAY, TIME OFF & BONUSES • $8–12/hr depending on experience, paid weekly through Upwork. Negotiable for exceptional candidates • Full-time, 40 hrs/week, long-term — this is a permanent seat on our team, not a project • 14 days of paid time off per year, plus paid US holidays — you're on staff, so you get time off like the rest of the team • Christmas bonus every December • Rate review at 6 months, and again as you take on more of the Controller's work • Paid onboarding and training — you're not expected to know our systems on day one WHY JOIN • You're a teammate, not a contractor. Every recurring task has an SOP, a template, or an AI-assisted workflow. You execute them well and improve them as you learn • Real multi-entity experience. Intercompany transactions, trust accounting, property management software, and a portfolio that's acquiring every year • Direct exposure. You work directly with the Financial Controller and ownership. Your reports get read and drive real decisions • Room to grow. This seat is designed to absorb more of the Controller's work over time, with rate reviewed as you take it on HOW TO APPLY — READ CAREFULLY 1. Answer these in your own words (short, real answers beat polished essays): – How many bank feed transactions do you clear in a typical day, and in which software? – Describe a bank reconciliation where the numbers didn't tie out at first. How did you find the difference? – Which property management software have you used (AppFolio, Buildium, Yardi, etc.), and what did you do in it day to day? – How many QuickBooks Online company files have you worked across at once, and how did you keep them straight? – What hours (in US Central Time) can you commit to? – Are you looking for a long-term, full-time seat with one company, or do you prefer juggling several clients? (Honest answer — we want the first one.) 3. Include a short voice note or Loom (60 seconds) introducing yourself. Not required, but strongly preferred — it moves you to the top. Generic or AI-written proposals will be declined. Shortlisted candidates complete a 20-minute practical test (bank feed coding + pivot table refresh) before a video interview.
