Remote Fleet & Vehicle Maintenance Coordinator — Transportation Fleet

We’re looking for a Remote Fleet & Vehicle Maintenance Coordinator to help manage the day-to-day maintenance needs of our transportation fleet. This is not a mechanic position. We need someone who can stay on top of vehicle maintenance, follow up with vendors, keep Fleetio updated, track open issues, and make sure nothing falls through the cracks. Our fleet includes passenger shuttles, Ford E-350/E-450 cutaway buses, vans, trucks, and last-mile delivery vehicles. Responsibilities include: • Monitor mileage, engine hours, and upcoming preventive maintenance. • Review DVIR/pre-trip and post-trip defects and follow up on open issues. • Create and update issues and work orders in Fleetio. • Schedule vehicles with repair shops, dealerships, tire vendors, and other service providers. • Request estimates, invoices, repair updates, and expected completion dates. • Keep track of which vehicles are available, out of service, at a shop, or at risk of going out of service. • Make sure repair documentation is received and uploaded before closing maintenance issues. • Track maintenance costs, downtime, PM compliance, and other fleet KPIs. • Maintain a 30/60/90-day maintenance forecast. • Provide daily and weekly updates on fleet status. We’re looking for someone who takes ownership and follows through. If a vehicle is at a repair shop, you should know what’s happening with it without management having to chase for an update. Fleetio experience is strongly preferred. Experience with fleet maintenance, transportation operations, vendor coordination, Verizon Connect, Excel, or Google Sheets is also helpful. You must be comfortable calling and following up with U.S.-based vendors and have strong written and spoken English. This is a long-term remote position for approximately 10–30 hours per week, with significant overlap with U.S. Eastern Time.
