Remote Legal Data Entry & Intake Assistant – Full-Time

We are a growing plaintiff-side personal injury law firm in Atlanta, Georgia seeking a dependable, highly organized, and tech-savvy Legal Data Entry and Intake Assistant based in Mexico, Central America, or South America. This is a full-time independent-contractor role requiring at least 40 hours per week. It is intended to be a long-term, dedicated position—not a temporary project or a side job performed alongside several other clients. You do not need prior law-firm experience. We will train the right person on our systems and processes. This is an entry-level role with a genuine opportunity to grow into a Legal Assistant, Case Manager, or Paralegal position. What You Will Do You will help ensure that every new lead and client file is complete, accurate, organized, and easy for our legal team to use. Your responsibilities will include: -Entering new leads and client information into our case-management system -Converting qualified leads into organized electronic case files -Reviewing information for accuracy, completeness, and consistency -Saving, naming, uploading, and categorizing documents -Organizing letters, emails, faxes, photographs, insurance documents, medical records, bills, and legal pleadings -Monitoring shared inboxes and routing communications appropriately -Sending routine client text messages and emails -Following up with clients for missing information and documents -Identifying duplicate, missing, incomplete, or incorrectly filed records -Assisting with the organization of documents for electronic filing -Maintaining accurate notes, deadlines, and task information -Using AI tools such as Claude to organize, summarize, and review information -Helping ensure that every file is actively worked and kept current -Technology You Will Use -Google Workspace, including Gmail, Drive, Docs, Sheets, and Calendar -Microsoft Word, Excel, and Outlook -Adobe Acrobat -Case-management software -Claude and other AI tools -Electronic fax and signature platforms -Zoom and remote-collaboration tools Who We Are Looking For The right person is: -Extremely organized and detail-oriented -Comfortable performing accurate, high-volume data entry -Able to follow written instructions exactly -Technologically confident and quick to learn new systems -A strong written communicator in English -Reliable and available throughout scheduled working hours -Comfortable asking questions rather than making unsupported assumptions -Able to handle repetitive work without losing accuracy -Professional when communicating with clients Interested in growing with one firm over the long term -Careful with confidential and sensitive information Prior experience in legal support, intake, insurance, medical records, customer service, data management, or administrative work is helpful but not required. Schedule and Compensation -Full-time independent-contractor engagement -Minimum of 40 hours per week -Monday through Friday -Schedule must substantially overlap with 9:00 a.m. to 5:00 p.m. U.S. Eastern Time -$10–$15 per hour, depending on experience and qualifications -Paid biweekly -Long-term opportunity with room for advancement This role must be your primary professional commitment. You may not perform work for other clients or businesses during the hours assigned to our firm. Describe the system you personally use to organize tasks, documents, deadlines, and follow-ups. 9. Tell us about a time you caught a mistake, missing detail, or inconsistency that someone else overlooked. What did you do? 10. What would you like your career to look like in three years? At the end of your cover letter, include the following sentence exactly: Accuracy first, then speed. Organization Exercise You receive the following items for a new client: -A signed representation agreement -A police report -Seven accident photographs -Two medical bills -An email from the client containing updated insurance information -A fax from a medical provider In no more than 250 words, explain how you would: -Review the materials -Name each file -Organize and save the documents -Record the information in the case-management system -Identify anything missing -Notify the appropriate team member Please do not use a generic AI-generated answer.
