Remote Licensed Insurance Account Coordinator / Customer Service Representative Location: Remote (United States Only) Employment Type: Full-Time (Preferred) or Part-Time for the right candidate About Us We are a fast-growing, nationwide specialty insurance agency licensed in all 50 states. We specialize in niche insurance programs and are looking for an experienced, organized, customer-focused insurance professional to become an integral part of our operations team. This is not a sales position. We are looking for someone who enjoys organization, solving problems, helping clients, and keeping an insurance agency running efficiently behind the scenes. Position Overview The Licensed Insurance Account Coordinator will be responsible for managing the day-to-day servicing of existing clients, supporting producers, coordinating renewals, organizing agency workflows, and ensuring exceptional customer service. The ideal candidate is proactive, detail-oriented, technology-friendly, and comfortable working independently in a remote environment. Primary Responsibilities Client Service Create and issue Certificates of Insurance (COIs) Add Additional Insureds Process policy servicing requests Handle endorsements Respond to client questions via phone and email Coordinate with insurance carriers and wholesalers Request loss runs and underwriting information Track pending requests until completed Renewal Management Track upcoming renewals Send renewal reminders Follow up with clients for required renewal information Coordinate with producers and underwriting Ensure renewal applications are complete Monitor renewal deadlines Help improve agency retention Agency Operations Organize incoming applications Review submissions for completeness Route applications to the proper team members Maintain organized client files Keep internal workflows moving Monitor outstanding tasks Ensure service requests are completed on time CRM Management We operate from a highly customized Notion CRM. Responsibilities include: Updating client records Managing pipelines Organizing tasks Creating reminders Maintaining clean records Tracking policy status Keeping documentation organized Administrative Support Gmail management Google Drive organization Google Docs Internal documentation Calendar coordination Team communication Process improvement recommendations Required Qualifications Active Property & Casualty Insurance License (Required) Minimum 2 years of insurance agency experience Experience servicing commercial insurance accounts preferred Strong understanding of: Certificates of Insurance Additional Insured endorsements Commercial policy servicing Renewals Insurance terminology Excellent written and verbal communication Strong attention to detail Highly organized Self-motivated Ability to prioritize multiple tasks Comfortable working independently Technology Requirements Experience with the following is preferred: Notion Gmail Google Workspace (Docs, Sheets, Drive) VoIP phone systems (we use QO Online Phone) CRM systems Cloud-based agency workflows Microsoft Office Preferred Experience Experience with one or more of the following: Commercial General Liability Specialty Insurance Sports & Recreation Insurance Martial Arts or Fitness Insurance Certificates of Insurance Endorsements Customer Service Account Management Remote agency operations What Success Looks Like The right candidate will: Keep client service requests moving quickly Stay ahead of renewals Keep our CRM accurate and organized Improve workflow efficiency Communicate proactively with clients and teammates Help create a best-in-class customer experience Compensation Compensation will be based on experience, licensing, and qualifications.
