Remote Operations Coordinator for E-commerce and Logistics

I run a growing New Zealand hospitality equipment business supplying commercial kitchen equipment to restaurants and hospitality venues across the country. As the business grows, the operational workload has increased and I’m looking for a proactive remote operations coordinator to help manage day-to-day operational tasks and improve the structure of how things run. This role is not simply about completing tasks — I’m looking for someone who can help organise processes, keep communication flowing, and take initiative to keep operations running smoothly. The position will begin with a small paid trial project and may develop into an ongoing part-time role if the fit is right. Key responsibilities may include • Managing supplier and customer email communication • Tracking customer orders and updating order records • Coordinating supplier responses and logistics updates • Helping organise order tracking spreadsheets or systems • Uploading invoices and administrative records • Assisting with logistics coordination and freight tracking • Helping document and improve operational workflows • Supporting general administrative tasks as required Some tasks will be clearly defined, but there will also be opportunities to identify improvements and suggest better ways of organising processes. What I’m looking for This role would suit someone who: • Has experience supporting e-commerce or operational workflows • Is highly organised and comfortable managing multiple tasks • Communicates clearly and professionally via email • Is proactive and able to take initiative when problems arise • Is comfortable learning new systems quickly • Enjoys helping small businesses run smoothly behind the scenes Experience with tools such as Shopify, Xero, spreadsheets, or logistics coordination would be helpful but is not essential if you are a quick learner. Trial project To start, I will hire a small number of candidates for a short paid trial to review part of the current operational workflow and assist with a few tasks. This allows both sides to determine whether the working style and communication are a good fit. Potential ongoing work If the collaboration works well, this may develop into ongoing part-time operational support helping manage the day-to-day operational side of the business.
