School Outreach & Scheduling Coordinator

Summary

We're looking for an organized, detail-oriented coordinator to manage the school side of our book donation and classroom visit program. This includes following up on existing firm-school matches to lock in visit dates, as well as identifying and reaching out to new schools once a firm is sponsoring. Outreach scripts and proposal templates are provided — you'll be tailoring and executing, not writing from scratch. Responsibilities - Follow up with teachers/schools already matched with a sponsoring firm to schedule a date and time for the classroom visit or assembly - Identify new elementary schools near each sponsoring firm's office, prioritizing grade levels K–3rd, with preference (not requirement) given to Title I schools - Reach out to new schools using our provided script/template to gauge interest in participating - Once a school is interested, generate a sponsorship proposal using our template and coordinate matching with the sponsoring firm - Coordinate and confirm scheduling between the sponsoring firm and school for the classroom visit/assembly, handling any back-and-forth on logistics (finding a date/time that works for both sides, resending details, following up on non-responses) - Log all school outreach, responses, matches, scheduled visit dates, and book counts in our shared tracking spreadsheet to avoid duplicate outreach and support impact reporting - Collect feedback and suggestions from schools and firms after each visit to help improve program guides and instructions - Provide a weekly check-in/report on school outreach progress, scheduling status, and pipeline Requirements - Strong phone and email communication skills, comfortable initiating and following up with schools/teachers - Organized and detail-oriented; comfortable maintaining accurate spreadsheet records and juggling multiple pending confirmations - Experience in education, nonprofit, or program/event coordination a plus - Confident and fluent English speaker
