Senior Executive Assistant / Marketing & Operations Coordinator

We are a boutique M&A advisory firm looking for an exceptional Senior Executive Assistant to work directly with the Managing Partner. Before applying, please make sure you meet these core requirements: Highly proficient with technology, especially HubSpot Professional/Content Hub, ClickUp, Excel, Canva, and LinkedIn Exceptional written and verbal English with the ability to communicate naturally and professionally with senior U.S. business professionals Excellent professional presence on video Strong general understanding of business and the ability to quickly understand the context behind an assignment Exceptional organization, attention to detail, judgment, and follow-through Ability to work proactively and independently without constant reminders This is a high-level role that goes well beyond calendar management and traditional administrative support. We need someone who can bring structure to multiple priorities, keep projects moving, coordinate people and resources, and make sure important details and follow-ups do not fall through the cracks. What You’ll Do Manage priorities, projects, deadlines, follow-ups, and executive commitments Turn meetings and conversations into clear next steps and keep them moving Coordinate marketing initiatives, content, speaking engagements, vendors, and outside resources Support client and M&A transaction-related projects and document coordination Maintain and improve project-management systems, workflows, and SOPs Manage and organize activity within HubSpot and ClickUp Coordinate LinkedIn and other marketing activities Draft polished executive-level communications Handle scheduling, meetings, travel, and other executive support Identify problems, missing information, and stalled projects before they become issues You are not expected to be an expert in everything. You should be highly resourceful and able to research unfamiliar issues, identify the right specialist or resource when needed, coordinate the people involved, and help move the work through completion. What We’re Looking For 5+ years supporting a founder, CEO, Managing Partner, or senior executive Strong project-management and problem-solving ability High level of business judgment and discretion Ability to manage multiple workstreams without losing the details Significant availability during U.S. Eastern Time business hours Experience in professional services, finance, consulting, legal, healthcare, M&A, or another detail-intensive environment is a plus This role is best suited for someone who genuinely enjoys creating order, keeping people and projects organized, and making sure things get done. We are looking for a long-term team member who can become a highly trusted extension of the Managing Partner.
