Senior Quickbase Developer / Architect — Build, Integrate & Train Our Internal Operations Lead

Summary

Overview We are seeking an experienced Quickbase Developer / Solutions Architect to help us enhance and expand our existing Quickbase environment while developing the Quickbase capabilities of our internal Operations Lead. This is not simply a development assignment. Our goal is to find someone who can both improve our sophisticated Quickbase solutions and teach someone else how to build them. We currently have three active Quickbase applications with approximately 10 users. Our applications support professional services workflows, primarily R&D Tax Credit and Cost Segregation engagements. Our existing environment is moderately complex and reasonably well architected. We now want to significantly expand its capabilities by integrating project management, document collection, workflow automation, dashboards, and related functionality directly into our core applications. At the same time, we want our Operations Lead to become our internal Quickbase administrator and builder. Primary Objective: Build + Knowledge Transfer This engagement has two equally important outcomes: 1. Improve and expand our Quickbase applications. 2. Transfer Quickbase knowledge to our Operations Lead so they progressively become capable of maintaining, modifying, and building applications independently. We are not looking for a consultant who disappears for a week, builds something, and then shows us the finished product. We want someone who is comfortable pair-building, explaining architecture decisions, demonstrating best practices, and gradually transferring development responsibility to our Operations Lead. Our long-term objective is for our Operations Lead to be capable of: Maintaining our Quickbase applications Creating and modifying tables and relationships Designing forms and user experiences Building reports, dashboards, and KPIs Creating formulas and business logic Building Quickbase Pipelines and automations Modifying existing workflows Troubleshooting applications Building new functionality independently Eventually architecting new applications when the complexity is appropriate Current Quickbase Environment We currently have: 3 active Quickbase applications Approximately 10 Quickbase users An intermediate level of customization Existing R&D Tax Credit applications Existing Cost Segregation applications An additional application that tracks the status of R&D projects Our existing applications are reasonably well designed, so we are not looking for someone to rebuild from scratch. However, we DO want a consultant who is willing to challenge our current architecture when there is a better approach. We don't want an order taker. If we ask you to build something one way and you believe there is a cleaner, more scalable or more efficient architecture, we expect you to tell us and explain why. Initial Development Priorities R&D Tax Credit Application Our highest priority is integrating project management capabilities directly into our existing R&D Tax Credit application. Potential enhancements include: Project and task management Client document requests and collection Project stages/status tracking Internal assignments Due dates and deadlines Automated reminders Workflow automation Dashboards Management KPIs Potential client communication workflows Improvements to existing final report/document generation Study calculations and much of our R&D study data functionality are already built and operational. Cost Segregation Application Our Cost Segregation application may require a more substantial redesign or potentially a ground-up rebuild. The new application/workflow may incorporate: Project management Client document collection Project stages and status Internal assignments Scheduling Site-visit workflows Engineering workflows Automated reminders Dashboards and KPIs Workflow automation Document/report generation We want the consultant to help us determine whether improving the existing architecture or rebuilding the application is the better approach. Integrations & Automation We want someone with strong experience integrating Quickbase with other platforms. Current or potential integrations include: HubSpot QuickBooks Quickbase e-signature functionality AI platforms and services We are currently using Quickbase Pipelines, but only to a limited extent. Expanding automation through Pipelines will be an important part of this engagement. We are also interested in potentially automating billing requests into QuickBooks. AI & Future Automation We are interested in incorporating AI into our Quickbase environment where it creates meaningful operational value. Potential use cases could include: Summarizing project information Drafting or assisting with client communications Extracting information from documents Reviewing or categorizing uploaded documents Triggering AI-based workflows Supporting internal project management processes Hands-on experience integrating Quickbase with AI/LLM platforms is highly desirable. We are interested in practical applications of AI rather than adding AI simply for the sake of having it. Training & Knowledge Transfer Our Operations Lead is currently a beginner Quickbase builder, although they are familiar with our business and operational processes. We want the consultant to actively develop their Quickbase capabilities during the engagement. We expect training to primarily occur through pair-building on our actual applications rather than classroom-style training. Initially, the consultant will take the lead on architecture and development while explaining what is being built and why. As our Operations Lead develops their skills, we expect the process to evolve toward: Consultant builds → Pair-build → Operations Lead builds → Consultant reviews/coaches Training sessions should be recorded when appropriate so our Operations Lead can reference them later. Our Operations Lead can spend up to approximately 10 hours per week working with the consultant, although the actual amount will often be less. Strong communication skills and patience when teaching technical concepts are essential. Required Experience Applicants should have strong demonstrated experience with: Quickbase application architecture Quickbase application development Relational table architecture Quickbase Pipelines Workflow automation APIs and third-party integrations Document management workflows Forms and user experience Dashboards, reporting and KPIs Formula development and business logic Process/workflow design Troubleshooting and optimizing existing Quickbase applications Teaching or coaching less-experienced Quickbase users/builders Experience integrating AI/LLM technologies into Quickbase or similar business applications is highly desirable. Preferred Experience The following experience would be helpful but is not required: Quickbase certification Professional services organizations Accounting or tax consulting Project management applications R&D Tax Credit workflows Cost Segregation workflows HubSpot integrations Microsoft 365 / SharePoint / Teams integrations QuickBooks integrations AI/OpenAI integrations Deep Quickbase expertise and the ability to understand our business processes are more important than previous tax-industry experience. Who Will Be Successful in This Role The right consultant will be someone who: Is an expert Quickbase builder and architect Thinks in terms of business processes, not simply fields and tables Can translate an operational problem into a clean Quickbase architecture Looks for opportunities to simplify and automate processes Challenges inefficient workflows Explains WHY they recommend a particular architecture Communicates clearly with non-developers Enjoys teaching Is comfortable pair-building Can progressively transfer development responsibility to our Operations Lead Builds scalable solutions rather than short-term workarounds Can identify when native Quickbase functionality is preferable to custom development Understands APIs and integrations well enough to connect Quickbase with our broader technology stack Engagement We anticipate: Initial commitment: Less than 10 hours per week Initial duration: Approximately 3–6 months Potential: Continued advisory/development work after the initial engagement Location: U.S.-based consultants preferred Structure: Individual senior freelancers or boutique Quickbase consulting firms will both be considered We are evaluating hourly rates based on experience and capabilities. This is not necessarily a lowest-cost engagement. We are looking for someone who can help us build the right system while developing our internal capabilities. Pipelines & Integrations Describe two Quickbase integrations or automations you have personally built using Pipelines, APIs, webhooks, or other integration technologies. Please explain what systems were connected and what business process was automated. 4. Project Management Have you built project or task management functionality inside Quickbase? If yes, briefly describe how you structured projects, tasks, assignments, due dates, status, dashboards, and automated notifications. 5. Document Management Describe your experience creating document-request, document-collection, or document-management workflows within Quickbase. 6. Teaching This is an important part of this engagement. Assume our Operations Lead understands our business extremely well but is a beginner Quickbase builder. How would you structure the first 60–90 days so that you can continue delivering development work while progressively teaching them to build and maintain the applications themselves? 7. Challenge Our Thinking Give us an example of a situation where a client asked you to build something a particular way, but you recommended a different approach. What did you recommend and why? 8. AI Have you integrated Quickbase with OpenAI, ChatGPT, another LLM, or AI-based document processing? If yes, briefly describe what you built and the business outcome. 9. Availability How many hours per week are you currently available, and what U.S. time zones/business hours can you support? 10. Who Will Actually Do the Work? If you are applying through an agency or consulting firm, please identify who would personally perform the architecture, development, and training.
