Senior Salesforce Administrator / Platform Consultant – Existing Org Takeover & Stabilization

Summary

We are looking for a senior Salesforce professional to take ownership of an existing Salesforce environment used as the primary CRM for a small financial services/consulting company of approximately 10 employees. This is not a new Salesforce implementation. Our Salesforce environment has been built and maintained over time primarily by one individual. We now need someone experienced in inheriting existing Salesforce environments, understanding how they work, identifying risks and technical debt, documenting critical workflows, improving monitoring, and supporting ongoing enhancements. Initial Priorities 1. Assess the Existing Salesforce Environment Perform a practical technical health assessment covering areas such as: - Salesforce configuration and architecture - Users, permissions, roles, and security - Objects, fields, and data model - Salesforce Flows and automation - Apex, triggers, scheduled jobs, and custom development - Connected Apps and integrations - Microsoft Outlook / Microsoft 365 - Calendly - APIs and other third-party systems - Service accounts and authentication dependencies - Data quality - Sandbox/deployment practices - Existing monitoring and error handling - Technical debt and obsolete configuration We want a prioritized list of risks, issues, and recommended actions, not just a generic Salesforce report. 2. Document Current Workflows Document both: - Salesforce-only workflows - Workflows that cross Salesforce and other systems Examples may include Salesforce, Calendly, Outlook/Microsoft 365, email, APIs, and other applications. We want documentation at two levels: Business Process: What happens and why. Technical Process: Which systems, Flows, objects, APIs, integrations, or automations make it happen. The goal is to remove our current key-person dependency and make the environment supportable by more than one person. 3. Improve Monitoring and Notifications One of our highest priorities is identifying problems before users discover them manually. We need someone who can help establish appropriate monitoring and notifications for areas such as: - Flow failures - Apex exceptions - Scheduled job failures - Integration/API failures - Authentication failures - Email or synchronization failures - Third-party integration failures - Other operational issues that should generate alerts 4. Ongoing Salesforce Support and Improvements Once the environment is understood and stabilized, the role will include: - Salesforce administration - Flow development and maintenance - Troubleshooting - Reports and dashboards - Permission/security changes - Data management - Integration support - Documentation - Technical debt reduction - Requirements gathering - New workflows and feature enhancements - Testing and deployment Who We Are Looking For This is a senior-level role. You should be comfortable walking into a Salesforce environment that you did not build and figuring out how it works. Strong experience should include: - Salesforce Administration - Salesforce Flow - Security and permissions - Data modeling - Troubleshooting production environments - API integrations - Connected Apps / OAuth - Reports and dashboards - Sandboxes and deployments - Requirements gathering - Business process mapping - Technical documentation Experience reviewing or working with Apex is highly desirable. We may separately engage a Salesforce Architect/Developer for specialized work, so you do not need to be the world's strongest Apex developer. However, you should be experienced enough to recognize when custom development or architectural support is required. Highly Preferred Experience - Inheriting and stabilizing existing Salesforce environments - Salesforce technical health assessments - Financial services or other regulated industries - Microsoft 365 / Outlook integrations - Calendly integrations - API/integration troubleshooting - Monitoring and error notification - Technical debt remediation - Working with Salesforce developers and architects Salesforce certifications are valuable, but practical experience and technical judgment are more important to us than certification count. Engagement - Remote contract role - Approximately 20–25 hours/week initially - Potential for long-term ongoing work - Regular weekly review of priorities, production issues, monitoring, risks, and upcoming changes Please Answer These Questions When Applying 1. Describe a Salesforce environment you inherited rather than originally built. What problems did you find, and how did you approach understanding it? 2. What would you do during your first two weeks taking responsibility for an undocumented Salesforce production environment? 3. What would you include in a Salesforce technical health assessment beyond the standard Salesforce Security Health Check? 4. How have you monitored or handled Flow failures, Apex exceptions, scheduled jobs, and integration failures? 5. Describe your experience with integrations such as Microsoft 365/Outlook, Calendly, APIs, or similar external platforms. 6. How do you decide when to use Salesforce Flow versus Apex or other custom development? 7. Roughly what percentage of your recent Salesforce work has been Administration, Flow/Automation, Integration, and Apex/Development? 8. Which Salesforce certifications do you currently hold? Please avoid sending a generic Salesforce proposal. We are specifically interested in candidates with experience taking ownership of existing production Salesforce environments, troubleshooting them, documenting them, and making them more reliable.
