Instantly.ai Cold Email & Deliverability Specialist — 30,000 Emails/Month Project Overview We are looking for an experienced Instantly.ai Cold Email Infrastructure & Deliverability Specialist to build, configure, warm up, test, and help manage a scalable outbound email system capable of sending approximately 30,000 emails per month. This is not simply a campaign-management position. We need someone who deeply understands cold email infrastructure, domain reputation, inbox rotation, authentication, deliverability, warm-up, bounce management, campaign configuration, and ongoing monitoring. Our objective is to build a reliable outbound system that can scale while protecting sender reputation and maintaining strong deliverability. Scope of Work The selected freelancer will be responsible for helping us: Configure our Instantly.ai infrastructure Determine the appropriate number of sending domains and inboxes for our actual monthly volume Configure and connect sending domains/inboxes Properly configure SPF, DKIM, and DMARC Configure domain forwarding and DNS settings where appropriate Organize inboxes and campaigns inside Instantly Establish appropriate sending limits for each inbox Configure inbox rotation Configure tracking settings with deliverability in mind Establish bounce and suppression procedures Set up reply management Configure campaign schedules Create a process for replacing or retiring underperforming inboxes/domains Monitor sender reputation and deliverability Troubleshoot spam-placement and deliverability issues Build reporting around sends, delivery, bounces, replies, positive replies, and booked appointments Document the entire system so our internal team can operate it Warm-Up & Launch We are considering a minimum 14-day initial warm-up period before beginning normal outbound activity. However, we specifically want an expert who will evaluate our proposed infrastructure rather than blindly follow it. You should be able to recommend an appropriate warm-up and ramp-up strategy based on actual inbox performance, authentication, reputation, bounce rates, and deliverability signals. We do not want someone who will simply guarantee that every new domain will be ready after exactly 14 days. We want the system tested and outbound volume increased responsibly based on performance. Target Volume Our initial target is approximately: 30,000 outbound emails per month The infrastructure should also be designed so we have the ability to scale substantially beyond this volume in the future without rebuilding everything from scratch.
