Summary

Project Overview We are an established online business specialising in vintage and decorative art and interiors. We want to develop a substantial second-hand and vintage art book section within our existing art-selling website. The books will be available to purchase directly from our own website and will also be listed on Amazon and AbeBooks. An Important Objective of the Project This project is not simply about selling books. A major objective is to use our collection of second-hand and vintage art books to increase relevant organic traffic to our existing art-selling website. The books cover artists, art movements, design, architecture, interiors and related subjects. By creating a large number of properly structured and SEO-optimised book listings, we want people searching Google for particular artists, designers, art movements and book titles to discover our website. These visitors are already interested in art and therefore represent a highly relevant audience for the paintings, works on paper, furniture, rugs and other decorative art that we sell. We therefore want the book catalogue to perform two functions: Generate book sales through our website, Amazon and AbeBooks. Increase SEO visibility and bring art lovers, collectors and potential art buyers to our main art website. We currently have a substantial collection of English-language art books located in the UK, as well as access to stock in Spain. We are looking for someone with experience in e-commerce fulfilment, book distribution, Amazon, Shopify and multi-channel inventory systems to help establish the most cost-effective way of cataloguing, storing and distributing this inventory. A key part of the project will be determining whether our UK collection should: Remain in the UK and be fulfilled from a UK warehouse. Be transferred to Barcelona and fulfilled from Spain. Operate as two separate UK and EU fulfilment locations. The decision should consider storage costs, fulfilment charges, shipping costs, delivery times, customs/VAT implications and access to Amazon Prime/FBA. Our objective is to create a simple workflow where, once products have been catalogued and transferred to the chosen fulfilment provider, our involvement in individual orders is kept to a minimum. Stage 1 – Assess UK vs Barcelona Fulfilment Assess the most practical and cost-effective location for warehousing and distributing the books. Compare: UK warehousing and fulfilment. Barcelona/Spanish warehousing and fulfilment. A possible two-location UK + EU model. Cost of transferring the existing UK collection to Spain. Storage costs. Pick-and-pack charges. UK, EU and international shipping costs. Customs and VAT implications. Returns. Delivery times. Amazon FBA/Prime possibilities. We want a relatively simple and low-cost solution that can grow as sales volumes increase. Stage 2 – Book Cataloguing, Website & Marketplace Integration Establish an efficient method of cataloguing books. The process should ideally allow us to: Scan a book's ISBN/barcode where available. Automatically retrieve existing book information. Add photographs, condition, edition and other information where necessary. Create an SEO-friendly product listing within the Books section of our existing Shopify art website. List the same book on Amazon. List the same book on AbeBooks. Keep inventory synchronised so that when a unique book sells on one platform, it is automatically removed or marked as sold on the others. We want to avoid manually entering the same information separately into three different platforms. The successful freelancer should help identify suitable software for this process and ensure that it is compatible with the chosen fulfilment provider. Stage 3 – SEO & Website Traffic The Books section needs to be structured with SEO in mind from the beginning. We want to investigate how book data can be used effectively for search visibility, including: Book title. Author. Artist. Publisher. Publication date. ISBN. Art movement or period. Subject/category. Relevant artists and designers. Product descriptions. Page titles and metadata. Internal links between relevant books and artworks on our website. For example, somebody searching for a particular artist's exhibition catalogue could discover one of our book pages through Google and then also be introduced to artworks relating to that artist, period or movement. The freelancer does not necessarily need to be an SEO specialist but should understand this commercial objective when designing the catalogue and technical workflow. Stage 4 – Source Suitable Fulfilment Partner(s) Research and identify suitable warehouse/3PL fulfilment providers. Initially, this should include suitable providers in: Barcelona / surrounding area and, depending on the findings from Stage 1: UK The provider should ideally be able to: Receive second-hand books. Check incoming stock against inventory. Barcode or identify individual books/SKUs. Store books appropriately. Integrate with Shopify and/or our inventory system. Receive orders automatically. Pick and pack individual books. Ship directly to customers in the UK, EU and internationally. Automatically provide tracking information. Deal with routine shipping and delivery problems. Process returns where required. Low minimum monthly charges are particularly important because we will initially be operating with relatively modest sales volumes. Stage 5 – Shipping Assessment Establish the cheapest and most efficient shipping method. Options to investigate include: Fulfilment provider's negotiated courier rates. Our existing discounted courier accounts. Amazon fulfilment / Prime. Low-cost tracked postal services suitable for books. Different shipping solutions for UK, EU and international customers. The successful freelancer should compare the options and recommend the most economical solution. Stage 6 – Amazon / Prime Assess the best way of selling second-hand books through Amazon while maintaining listings on our own website and AbeBooks. Where commercially practical, we would like to explore Amazon FBA/Prime to provide customers with fast delivery. The freelancer should establish whether FBA/Prime is commercially practical for individual second-hand and vintage books and how this would work alongside our independent warehouse inventory. It is important that using Amazon does not undermine the primary objective of building the book catalogue and organic traffic on our own art website. Stage 7 – Initial Stock Transfer & Testing Once the software, workflow and warehouse provider have been selected: Set up the agreed workflow. Catalogue an initial batch of books. Create the appropriate SKU/barcode identification. Upload the books to our website, Amazon and AbeBooks. Coordinate delivery of the first batch to the chosen warehouse. Confirm inventory has been correctly received. Test orders through the complete process. Confirm that inventory synchronisation works correctly across the different sales channels. Works on paper. Prints. Other small decorative products. The longer-term objective is to gradually move a larger proportion of suitable inventory to outsourced warehousing and fulfilment while using the expanded product catalogue to increase traffic and potential customers for our main art business.
