Super Organized Ecommerce VA / Virtual Assistant

PLEASE NOTE: This role is open to freelancers based in the Philippines only. Applications from outside the Philippines will not be reviewed. We are a premium kids' apparel brand based in the Chicago area. In ten years we have dressed over a million kids worldwide, we run a 50,000 sq ft headquarters and distribution center, we have retail doors across the country, and we work with some of the biggest licensors in the world: Disney, Barbie, Hello Kitty, MLB, and Warner Bros. We launch new collections constantly. Our catalog never sits still. We are looking for a Virtual Assistant who is exceptionally organized to keep all of it accurate and on schedule. WHO THIS IS FOR This is not general admin work and it is not data entry. This is a VA seat with real ownership of our sales channels outside our own website: our Meta Shop on Instagram and Facebook, and our marketplace listings on Nordstrom Marketplace and Maisonette. You are right for this if you keep a checklist for everything, you notice when one number does not match another, and you follow up without being asked twice. If a wrong price or a missing size on a live listing would bother you personally, you will do well here. We give you the goal. You build the process to hit it. WHAT YOU WILL DO Meta Shop (Instagram and Facebook) Manage our Meta Shop, Commerce Manager, and product catalogs day to day Get new arrivals, drops, licensed collections, seasonal collections, and markdowns live within 24 to 48 hours of launch Tag products across posts, Reels, and Stories so every piece of content is shoppable Monitor catalog health: feed diagnostics, rejected or unavailable items, image and title quality, variant and size mapping, price and inventory accuracy Keep the shop merchandised: collections, featured sets, and layout that match what we are promoting that week Check listings against licensor requirements before they publish Marketplace Listings Build and maintain listings on Nordstrom Marketplace and Maisonette: titles, bullets, enhanced content, images, attributes, categories, sizing Keep inventory and pricing in sync across channels and catch mismatches before customer service does Handle listing suppressions, content flags, chargebacks, and account health issues Send a simple weekly report: what is selling, what is stuck, what needs more inventory Coordination Work with our ecommerce, merchandising, paid media, and warehouse teams so what is live is actually in stock Raise problems early instead of quietly fixing the same thing every week Keep a shared tracker and simple SOPs so nothing depends on memory WHAT YOU NEED Required 2+ years as a VA, ecommerce assistant, or marketplace or catalog assistant for a US or international brand Hands-on experience inside Meta Commerce Manager or a product catalog or feed tool. You have fixed a broken listing or feed yourself, not just reported it. Shopify experience. We run on Shopify. Strong spreadsheet skills: CSV imports and exports, VLOOKUP or XLOOKUP, pivot tables, bulk edits, catalog uploads Excellent written English and clear, proactive communication Reliable internet, a backup connection or plan, and consistent overlap with US Central business hours Extremely organized. You track your own work and you meet deadlines without reminders. Based in the Philippines Nice to Have Apparel, kids' products, or licensed product experience Amazon, Walmart, Etsy, Wayfair, or TikTok Shop listing experience Feed tools such as Feedonomics, Channable, DataFeedWatch, or GoDataFeed Basic image editing in Canva or Photoshop for channel-specific image requirements Familiarity with Meta ads, enough to understand why clean catalog data matters WHAT SUCCESS LOOKS LIKE First 30 days: You audit our Meta catalog and every marketplace listing and give us a clear list of what is broken, outdated, or missing. First 60 days: The catalog is clean and current, and you have built a repeatable launch checklist so new drops publish everywhere on launch day without anyone chasing it. First 90 days: You own the channel calendar, you send channel performance reports on a set schedule, and you bring us ideas we have not thought of. WHAT WE OFFER A long-term seat. This is ongoing work, not a one-off project, and it can grow into full time. Direct access to leadership. You will not be buried under five layers of management. Clear ownership. These channels are yours. A brand that launches constantly, so the work stays interesting.
