ABOUT US We're Evolve Homes QLD — a residential home builder in Queensland, Australia (evolvehomesqld.com.au). We spend real money on Google Ads and Meta Ads, we get leads from the Australian real estate portals (realestate.com.au and domain.com.au), and everything lands in HubSpot where a small sales team works it. Right now we can see activity. What we can't see is truth. I can't tell you with confidence which campaigns produce contracts, which ads should have been switched off two weeks ago, or which rep is actually converting versus just busy. That's the problem I want solved. THE JOB — PHASE 1: SUPERMETRICS, DONE PROPERLY I'm signing up to the Supermetrics Growth plan. Phase 1 is narrow on purpose: get Supermetrics set up to its full capacity. Nothing else. Every connector authenticated, mapped, tested and documented, pulling clean and reliable data with no manual patching. Our stack: - Google Ads - Meta Ads - HubSpot (CRM, deals, sales activity) - Mantis CRM — Zapier pushes real estate portal leads into HubSpot, so HubSpot should be the single source of truth. Part of your job is making sure that assumption actually holds up and that portal leads and paid-ad leads don't get muddled or double-counted. We're a Microsoft business, so Excel is the natural home for reporting. I'm open to Power BI if you can make the case for it. I also use Claude and ChatGPT daily and expect to do a lot of the ongoing analysis there, so build with that in mind. Phase 2 (only once Phase 1 is solid) is better reporting on top of the data. If Phase 1 goes well, Phase 2 is yours. WHAT I WANT TO BE ABLE TO ANSWER This is the actual brief. The tooling is just how we get here. Ad performance and decisions: - Which campaigns, ad sets and creatives produce enquiries, appointments and contracts — not clicks - Cost per lead, cost per appointment, cost per contract by channel and campaign - Which ads need to be paused, scaled or changed, ideally flagged automatically rather than me noticing late - Genuine comparison between Google and Meta on cost per outcome, not cost per click HubSpot and the sales team: - What happens to a lead after it arrives: speed to first contact, contact rate, appointments set, appointments to contract - Pipeline by stage and by rep, plus deals going stale - Conversion rates by lead source, so we know which sources are worth paying for Areas of concern: - I want the reporting to surface problems, not just display numbers. Spend up with no lead movement. Leads sitting untouched. A rep's conversion falling off. A campaign quietly burning budget. Sources that generate volume and no contracts. Sales team KPIs: - A defensible KPI set for the sales team, built on data we actually capture in HubSpot. If we're not currently capturing something we'd need, tell me what's missing and what it takes to start. WHAT YOU'LL DELIVER IN PHASE 1 1. All connectors live, authenticated and tested, with data validated against the source platforms (numbers must reconcile — if Supermetrics says 40 leads, HubSpot must say 40 leads) 2. A clear plan for the Mantis/Zapier/HubSpot lead flow so attribution holds together 3. Core reporting in Excel or Power BI: ads performance, lead-to-contract funnel, sales team performance 4. Alerts or a flagging method for the ad decisions and concerns above 5. Documentation and a short screen-recorded walkthrough so I can run and extend it myself with Claude 6. A written recommendation for Phase 2 WHO I'M LOOKING FOR - You've set up Supermetrics for real clients, not just watched the tutorials - You know HubSpot's data model properly — deals, stages, owners, custom properties, lifecycle stages - You've connected ad spend to CRM outcomes before and can explain where attribution breaks - You can explain things in plain English. I'm commercially sharp, not an analyst. If I can't understand it, it's not useful to me. - Comfortable with Australian time zones for occasional calls (AEST, Brisbane) Nice to have: Power BI depth, Zapier experience, Australian real estate or home building experience, experience building for people who use Claude or ChatGPT as their analysis layer. ENGAGEMENT AND BUDGET I'm open on structure. Propose what you think fits: a fixed price for Phase 1, hourly, or a monthly retainer covering Phase 1 then ongoing. Tell me what you'd charge, how long Phase 1 takes, and what you need from me to hit that. I'd rather pay properly once than cheaply three times. Ongoing work is genuinely available for the right person. TO APPLY — PLEASE ANSWER THESE FOUR QUESTIONS Proposals that skip them get passed over. Copy-paste pitches get ignored. 1. The Growth plan includes one core destination. Which would you choose for us and why — Excel, Power BI, Looker Studio, or the Claude/ChatGPT destination? What are we giving up with that choice? 2. Our portal leads come in via Zapier from Mantis into HubSpot, alongside leads from paid ads. How do you make sure those don't get double-counted, and how do you tie a closed HubSpot deal back to the specific Google or Meta campaign that created it? 3. What's your framework for deciding an ad should be paused or changed? Give me the actual metrics and thresholds you'd build the flags on. 4. Show me one report or dashboard you built that a sales manager or business owner actually opened every week. What made them keep using it? Also tell me: anything above that you think is the wrong approach. I'd rather hear it now.
