Tech-savvy Operations VA, HubSpot + AI tools

About the work We run systems and operations projects for US companies. Right now we are rebuilding the CRM, help desk and internal processes for two businesses, a logistics company and a lender. You would work directly with me on the build. This is not a "reply to emails and schedule meetings" VA role. You will be inside HubSpot, building things, documenting processes, and running pieces of the project on your own. What you would be doing - Building and cleaning HubSpot: contacts, companies, deals, properties, pipelines, workflows, forms - Data cleanup at volume: deduplication, fixing ownership, filling in missing fields - Turning meeting recordings and notes into clear process documentation - Setting up help desk queues, routing and templates - Tracking tasks and deadlines across a project with a lot of moving parts, and telling me when something is slipping - Research tasks where you go find the answer rather than asking me for it What you need - Real HubSpot experience. You do not need to be a certified expert. You need to be comfortable in the platform and able to build a workflow without hand-holding. - You use AI tools daily and you are good at it. Claude, ChatGPT or similar. You should be using AI to do the work faster, not avoiding it. - Comfortable with technical setup. API keys, integrations, connecting tools to each other. If you have set up MCP connections before, say so. - Excellent written and spoken English. What matters more than the above Honestly, the HubSpot piece can be taught. These cannot: - You are organised. You track your own work. Nothing falls through. - You are a self-starter. Given an unclear task, you figure out the path and come back with a proposal rather than a question. - You manage a project, not just a task list. You see what depends on what. - You tell me when something is wrong, late, or a bad idea. - You are reliable on timing and you communicate before a deadline rather than after.
