Technical Project Manager for Small Agency

I run a small software automation agency with 5-10 active projects at any time. Right now I'm the only person who knows what's happening on any of them. I need a project manager to take that over. What you'd own: • Scoping projects, turning client requests into defined work with clear boundaries • Writing tasks, sequencing them, setting realistic due dates • Defining success criteria so "done" means something specific • Running the board daily: what's blocked, what's next, what's slipping • Chasing open questions with clients and with me until they're answered • Keeping developers unblocked with work that's clear enough to start on Most raw material comes from client calls. I record and transcribe everything (Granola), so you'll have access without needing to attend live. The honest challenge. You'll need to manage me: I'm all over the place. Everything lives in my head: scope, priorities, what's half-finished, what a client asked for three weeks ago. I plan while I build, I don't write things down, and I've abandoned every task system I've ever set up. Your job is to get it out of my head and into somewhere everyone can see it, then keep it current. That means asking me the right questions, following up when I go quiet, and never depending on me to update a board myself. If your process requires me to be organized, it will fail. Build one that assumes I'm not. Requirements: • Real PM experience on software or automation projects • Strong written English. Most of this role is writing clearly • Comfortable choosing and owning the tooling (ClickUp, Notion, Linear, your call). Or a custom one I've built and can update to your liking The first task will be meeting with to go over a project I am in the middle of and properly building out a project management system for it.
