We're a boutique travel media and advisory company focused on design-forward hotels, meaningful travel, and highly curated client experiences. We work with a small pipeline of high-net-worth travelers, mostly from the US, UK, and the Gulf, and we place them in properties we've personally vetted. This role is the operational engine of that work. You'll be the second pair of hands to our Head of Client Experience & Operations, and over time you'll own client trips from first inquiry through to the day they check out. What You'll Do You'll take a client from their first email through to the day they check in. That means researching and shortlisting hotels, then building each proposal with three room categories: an entry option, a mid-tier, and a splurge. Quoting accurately, with the total including taxes and fees, the cancellation policy, and what's included. And writing the email that presents those options and the trade-offs between them. To quote accurately you'll be dealing with hotels directly: requesting rates for exact dates, confirming the exact room category name before you quote it, and chasing the ones who go quiet, by email and by phone when email stops working. Once a trip is booked, you'll handle VIP pre-arrival, upgrades, amenities, celebration notes, room preferences, plus transfers and ground logistics. Alongside that, you'll manage live client threads through proposal, revision, and booking, handle payment links and confirmations, and escalate the sensitive situations rather than improvising through them. And you'll own our CRM. Trip statuses, proposal builds, automated email sequences, records that are actually accurate. Status hygiene matters here more than it sounds like it should, because the automations are tied to it. One thing worth saying plainly: we hold the line on quality. If a client's budget doesn't reach a property we'd genuinely recommend, we'd rather present something slightly above budget and explain why than recommend a hotel we don't stand behind. Who You Are An outstanding writer in English Genuinely interested in hotels, travel, and design. You have opinions about properties, and you can tell the difference between a good hotel and a well-marketed one Extremely organized. Things don't slip, and you can hold roughly [X] active trips and [Y] new inquiries at once without dropping any of them Calm when several things are urgent at the same time, and good at deciding which one isn't Quick with new software, and comfortable using AI in your workflow. If you use AI to write, we'd rather you say so than hide it Independent, and equally willing to ask before guessing At least two years in luxury hospitality, travel, or a comparable high-touch environment Nice to have: hotel-side experience, front office, reservations or guest relations, and a sense of who inside a hotel actually gets things done. A travel advisor platform, booking system, or CRM you've configured rather than only used, tell us which and what you did in it. Additional languages. Logistics Full-time, fully remote We are only considering candidates based in the Americas or Europe 5 days a week, with half days on Saturday and Sunday and Tuesday or Wednesday off. Our clients travel on weekends and need to be serviced then. One weekend off per month. Immediate start. Contract to hire, with compensation based on experience
