Virtual Assistant: Behavioral Health Operations Specialist – OHP / CareOregon Experience Required

***DO NOT APPLY UNLESS YOU HAVE WORKED WITH OREGON MEDICAID/OHP/CARE OREGON** We are seeking an exceptional virtual operations specialist to support the administrative operations of an established outpatient mental health clinic in Oregon. This is not a basic virtual assistant position. I am looking for someone who understands behavioral healthcare operations, can work independently, notices problems before they become problems, follows through relentlessly, and is comfortable being accountable for important administrative workflows. Strong preference will be given to candidates with direct experience working with Oregon Health Plan (OHP), Oregon Health Authority (OHA), CareOregon, Medicaid behavioral health, or an Oregon mental health clinic. Responsibilities may include: • Insurance eligibility and benefits verification • OHP/CareOregon administrative workflows • Prior authorizations and authorization tracking • Referral and intake coordination • Following up with prospective individuals and helping move them efficiently from inquiry to scheduled intake • Monitoring clinician schedules and identifying unused availability • Claims follow-up, denials, and coordination with billing • Tracking documentation completion and administrative compliance requirements • Maintaining spreadsheets, dashboards, and operational reports • Credentialing/provider enrollment support • Communicating with insurance companies and payer representatives • Supporting OHA/OHP-related paperwork and administrative requirements • Helping maintain organized personnel/provider documentation • Identifying unresolved tasks and following them through to completion • Developing and maintaining SOPs for recurring administrative processes • General executive/operations support as needed The ideal candidate has worked behind the scenes of a behavioral health clinic and understands how the pieces fit together: intake → eligibility → authorization → scheduling → documentation → billing → collections. I am specifically looking for someone who can eventually own processes rather than simply wait for instructions. What I care about most You are: • Extremely organized and detail-oriented • Proactive rather than reactive • Comfortable following up repeatedly until something is resolved • Able to communicate professionally with clinicians, insurance companies, and administrative staff • Comfortable learning complicated payer requirements • Strong with spreadsheets, tracking systems, and EHRs • Able to identify operational problems and recommend solutions • Reliable with confidential information and understands HIPAA requirements • Comfortable working directly with an owner/operator in a fast-moving environment Experience with OHA, OHP and/or CareOregon is highly preferred. Experience with Medicaid behavioral health operations in another state is also valuable. Experience with behavioral health billing, credentialing, prior authorization, EHR systems, or group-practice administration is a major plus. Schedule Initially approximately 20–40 hours per week, with the potential to become a long-term full-time position for the right person. This is intended to become a high-trust position with substantial responsibility.
