AI Voice Agent Expert for European Real Estate

We are exploring the implementation of an AI voice agent for a European real estate business to handle inbound enquiries, qualify prospective buyers and sellers, and automate appointment or property-viewing scheduling. We are looking for an experienced AI automation / voice AI developer who can help design a reliable end-to-end architecture and, depending on the proposed approach, support its implementation. We are currently considering Vapi, Retell, or a comparable voice AI platform and are open to recommendations based on reliability, integration capabilities, cost, and EU data/privacy considerations. What the system should handle * Answer inbound calls and qualify leads based on criteria such as budget, timeline, financing status, location, and property type * Handle common real estate scenarios, including: * buyer enquiries * seller enquiries / valuation requests * rental enquiries * property-viewing requests * Capture structured information from conversations rather than relying only on open-ended AI responses * Create or update leads automatically in a CRM such as HubSpot, Pipedrive, GoHighLevel, or another suitable system * Connect with Google Calendar, Calendly, or another booking system to schedule calls or property viewings * Trigger post-call follow-ups through email, SMS, or automation workflows using n8n, Make, or a similar platform * Route high-intent or sensitive conversations to a human team member when appropriate * Log call outcomes, qualification data, and relevant conversation metadata for follow-up and reporting Important considerations The system will be used in Europe, so the architecture should take into account relevant privacy and compliance requirements, including: * GDPR-compliant handling of personal data * call recording and consent requirements * data retention and deletion * third-party data processing * where relevant, EU/EEA data hosting or international data transfers We do not expect the developer to provide formal legal advice, but experience designing AI/voice systems with European privacy requirements in mind is a strong advantage. Requirements * Hands-on experience building voice AI agents using Vapi, Retell, Bland, or similar platforms * Experience designing structured conversational flows for qualification, booking, or customer-service scenarios * Strong understanding of workflow automation and system integrations * Experience with n8n, Make, Zapier, or comparable automation platforms * Comfortable working with APIs, webhooks, CRM systems, and calendar integrations * Ability to design fallback logic and handle edge cases reliably * Ability to review call transcripts and iteratively improve prompts, workflows, and conversation logic Nice to have * Previous experience with real estate, property management, or lead qualification systems * Experience with Twilio or similar telephony infrastructure * Experience with European GDPR/privacy requirements for voice AI systems * Experience with multilingual voice agents * Experience designing monitoring, logging, and error-handling processes for production automations When applying, please include 1.
