Wine Industry Tender & Export Specialist

About the Role We manage digital marketing and DTC operations for wineries, and we’re looking for an experienced professional to own the tendering and export documentation process for our winery clients particularly submissions to provincial liquor boards (e.g., LCBO) and similar regulated buyers. This is detailed, paperwork-heavy work involving vendor onboarding, agent appointment agreements, product confirmations, and supplier quote/shipping documentation. It requires someone who has actually done this before not someone learning tender processes on the job. What You’ll Be Doing Acting as the point of contact who can pick up the phone and speak directly with our winery clients to gather the information needed for tender and vendor submissions Completing and managing vendor onboarding forms (banking info, contacts, authorized representatives, gateway/portal access) Preparing supplier agreements and agent appointment documentation Completing detailed product/supplier quote forms varietal, vintage, alcohol %, case pricing, bottle specs, UPC/SCC codes, shipping incoterms (Ex-cellars, FCA, FOB), country of origin, duties/excise status, case dimensions and weights Tracking tender deadlines and ensuring accurate, complete, compliant submissions Liaising between wineries and the liquor board/buyer on outstanding requirements Requirements Prior hands-on experience completing tenders/vendor submissions specifically within the wine or beverage alcohol industry this is not transferable from unrelated tender work Working knowledge of export documentation and terminology (incoterms, duties, excise, country of origin/export requirements) Comfortable and confident calling wineries directly to collect information this is not an email-only role Ability to treat incoming tenders as time-sensitive these come with tight external deadlines, and you’ll need to chase wineries and internal staff quickly and persistently to get outstanding information, not wait for it to come to you High attention to detail these forms are unforgiving of errors (banking details, product specs, compliance fields) Strong written English for documentation and correspondence References required please include contactable references from prior wine-industry tender work in your application Responsiveness Tenders on this account move fast once they land turnaround windows can be short, and a missed or late submission means a lost opportunity for the winery. When a tender comes in, you’ll be expected to: - Prioritize it immediately over non-urgent work - Proactively chase wineries and internal staff for missing information (phone first, not just email) - Flag any risk of missing a deadline as soon as you spot it, not after the fact How to Apply Please include: 1.
