# Upwork Project: AI Workflow & Productivity Systems Consultant ## Project Overview I'm looking for an experienced consultant who specializes in productivity systems, AI workflows, automation, and digital knowledge management. Over the past several years, I've accumulated a significant collection of digital tools that each solve part of my workflow. Individually they work well, but they are not integrated into a cohesive system. My goal is **not** simply to learn another software platform. My goal is to design a workflow that allows me to: * organize complex consulting and writing projects * reduce cognitive overload * eliminate duplicate work * automate repetitive tasks * capture ideas quickly through voice * manage research effectively * collaborate efficiently with editors and clients * create a long-term knowledge system that continues to improve over time Ultimately, I want one integrated ecosystem rather than a collection of disconnected apps. --- # About Me I work as a management consultant while also developing several long-term writing and research projects. My work includes: * consulting projects * grant management * historical and genealogy research * long-form writing * memoir development * article writing * podcast and lecture research * AI-assisted writing I process a large amount of information every week and need a better system for organizing it. --- # Current Software Ecosystem ## Monday.com This is my primary project management platform. Current uses: * task management * project tracking * deadlines * planning Needs: * redesign board architecture * improve dashboards * create better workflows * automate reminders * automate project movement * integrate with other platforms This is probably my highest priority. --- ## Airtable I use Airtable as a flexible database. Examples: * research databases * people * genealogy * historical information * writing references * resource libraries * catalogs I want to determine: * what belongs in Airtable * what belongs in Monday * how they should communicate * what should be automated --- ## Google Workspace I maintain several Google Drive environments. Examples include: * consulting business * writing projects * personal work Google Docs is my primary collaboration platform with editors and outside partners. I would like help with: * folder architecture * organization * naming conventions * Drive automation * using Google Workspace more effectively * identifying Google services I should be using but currently am not --- ## ChatGPT ChatGPT is my primary AI assistant. I currently use: * Projects * Custom GPTs * voice conversations * writing assistance * brainstorming * research I know there are many capabilities I am not fully utilizing. I would like help integrating ChatGPT into my daily workflow with: * Monday * Airtable * Google Drive * writing * research * automation --- ## Microsoft Word / Copilot I often dictate directly into Microsoft Word because I find its speech recognition superior. I also have access to Microsoft Copilot. I would like advice on whether Microsoft should remain part of my workflow or whether another solution would be better. --- ## Whisper I'm interested in building a voice-first workflow using Whisper or similar speech-to-text tools. My ideal workflow would allow me to: * dictate ideas * dictate project instructions * dictate research notes * dictate article drafts Those notes should flow automatically into my organizational system. --- ## Evernote I have used Evernote for approximately seven years. It contains: * scanned documents * notes * archived materials * reference information I need help deciding whether to: * continue using it * migrate it * simplify it * integrate it --- ## Meeting Recording Current tools include: * Fireflies * Notta * Zoom AI I need help determining: * which platform should become my primary solution * how transcripts should be organized * how action items should flow into Monday * how meeting knowledge should be stored for future retrieval --- ## ElevenLabs I use ElevenLabs extensively. Uses include: * listening to research * listening to books * listening to drafts * creating narration using my cloned voice I would like this incorporated into my writing workflow. --- ## Substack This is where I publish much of my writing. I would like advice regarding: * publishing workflow * organization * editorial pipeline * integration with my writing process --- # My Ideal Workflow I would like to create a system where I can: Voice → Transcript → Organized Notes → Tasks → Research Database → Writing Draft → Collaboration → Publication with as little manual work as possible. --- # Deliverables I'm looking for someone who can help me: ### Phase 1 * Audit my current tools * Understand how I actually work * Identify duplication * Identify gaps * Recommend an overall architecture ### Phase 2 Design an integrated workflow. Determine: * which platform should own each type of information * where projects belong * where research belongs * where documents belong * where meeting notes belong --- ### Phase 3 Implement: * Monday redesign * Airtable redesign * automations * integrations * templates * dashboards --- ### Phase 4 Training I want someone who can teach me how to use the system rather than simply build it. --- # Who I'm Looking For Ideally someone with experience in: * Monday.com * Airtable * Google Workspace * ChatGPT * AI workflows * automation * Zapier or Make * productivity systems * knowledge management * digital organization * voice-first workflows Experience building systems for consultants, researchers, writers, or creative professionals would be a significant advantage. --- # Success Looks Like When the project is complete, I want a workflow where I always know: * what I'm working on * what should happen next * where information lives * where documents are stored * where research belongs * how projects are progressing Most importantly, I want technology that reduces mental overhead rather than creating additional work.
