Zapier Automation Specialist for Fitness Coaches

I am a co-founder of CoachLogik, a coaching software platform used by hundreds of strength coaches and gym owners (powerlifting, weightlifting, S&C) to program and coach athletes, and to bill them through Stripe. We have a zapier integration. Our coaches want automations but most of them are not technical and will never build a Zap themselves or struggle to do so. I am hiring ONE Zapier automation specialist, to be the person I refer these coaches to. You may end up doing more than just the zapier flows for CoachLogik related zaps and become their go to person for more technical work. THE FIRST JOB IS WAITING A weightlifting gym owner (three gyms plus a remote coaching team) is moving all his billing and client management onto CoachLogik and needs two things built this week: 1. Waiver flow. When an athlete joins his team in CoachLogik, automatically send them a liability waiver to e-sign, notify the coach when it is signed, and store the signed document. He has NOT picked a waiver tool yet. You will recommend one (Tally, Jotform Sign, WaiverSign, Waiver Forever, SignNow, or PandaDoc, whichever is cheapest and simplest for his use), set it up, load his waiver, and wire the Zap. 2. Billing alerts. When a subscription starts, a payment fails, a trial is about to end, or a subscription is canceled in CoachLogik, email or text the coach so he knows without checking Stripe. He is not technical. His admin assistant handles onboarding. You will deliver these with click-by-click Loom walkthroughs that a non-technical person can follow and repeat. HOW THIS WORKS AFTER THAT - I introduce you to a coach by email. - You work directly with the coach (or their admin): short call, scope it, build it, hand it off with a Loom. - Billed hourly. I do not take a cut. - I need you generally reachable during US business hours for calls and same-day replies. COACHLOGIK ZAPIER TRIGGERS (CoachLogik is always the trigger, you build everything downstream) but they may use you for other tech/automation work. Athletes - Member Joined: an athlete's team membership became accepted - Member Left: a member was removed from the team - Group Joined: a member joined a group (or was promoted to coach) Training - PR Achieved: an athlete recorded a new personal-record max - Workout Completed: an athlete completed a workout - Video Uploaded: an athlete attached a video to a logged set - Missed Lift: an athlete missed a prescribed lift - AI Program Generated: a program was generated for an athlete by the AI Billing - Subscription Started: an athlete's billing subscription became active - Subscription Trial Will End: an athlete's trial is ending soon (about 3 days before trial end) - Subscription Changed: an athlete's subscription plan or quantity changed - Payment Succeeded: an athlete's payment to the team succeeded - Payment Failed: an athlete's payment to the team failed - Subscription Canceled: an athlete's billing subscription was canceled TYPICAL WORKFLOWS YOU WOULD BUILD FOR COACHES - Member Joined → send waiver or intake form (Tally, Jotform, WaiverSign, PandaDoc, SignNow) → notify coach when signed → store the document - Member Joined → create or tag contact in GoHighLevel, Mailchimp, ConvertKit, or ActiveCampaign and start a welcome sequence - Member Joined → add to Google Sheet roster, notify coach in Slack or SMS - Subscription Started / Payment Failed / Trial Will End / Subscription Canceled → email or SMS the coach, and in some cases the athlete - Subscription Canceled → remove from email list, log to churn sheet, start a winback sequence - PR Achieved → congratulations text to the athlete, post to team Slack - Missed Lift or Workout Completed → coach notification or athlete check-in - Multi-step Zaps using Paths, Filters, Formatter, Delay, and Webhooks where needed WHAT WE NEED FROM YOU - Real Zapier experience: multi-step Zaps, Paths, Filters, Formatter, Delay, Webhooks by Zapier, error handling, and task-efficient builds so coaches do not blow through their Zapier plan - GoHighLevel experience (workflows, contacts, tags, pipelines). Many of our coaches run their business on GHL and want CoachLogik events flowing into it - Hands-on with the tools coaches use: Stripe, Mailchimp, ConvertKit, ActiveCampaign, Kajabi, Typeform, Jotform, Tally, Google Sheets, Airtable, Slack, Calendly, and at least one eSign or waiver tool - Experience with fitness apps, gym owners, or online coaches, so you can speak their language without me translating - You can get on a 20-minute call with a non-technical gym owner or their admin, understand what they want, recommend the right tool, and ship it - Clear written English. Click-by-click Loom walkthroughs are the default deliverable, not optional - Fast turnaround: most coach jobs are 1 to 3 Zaps and should take a day or two, not weeks NICE TO HAVE - Make or n8n for coaches already on those - Experience with gym management software migrations (Wodify, Mindbody, Zen Planner, PushPress) HOW TO APPLY Answer the screening questions.
