Zoho Books & Payroll Setup + Ongoing Monthly Bookkeeping (2 U.S. C-Corps) Summary We are looking for an experienced Zoho Books and Zoho Payroll specialist to (1) do a clean initial setup for two newly formed U.S. C corporations, and (2) — if the initial setup goes well — take on an ongoing monthly bookkeeping and payroll-entry engagement for both companies. This posting covers two phases. Phase 1 is a fixed-price setup project. Phase 2 is an optional ongoing monthly engagement we'd like to discuss with the right person once Phase 1 is complete. Phase 1: Initial Setup (Fixed Price: $400) We want someone who can do a clean initial setup with some handholding, not just simple data entry. Scope of work Set up Zoho Books for 2 separate U.S. C corporations Configure a simple startup-friendly chart of accounts Set up owner capital / founder funding entries correctly Set up Zoho Payroll for 1 company initially Configure payroll basics for 1 employee Import or demonstrate sample Chase and Fidelity statements Set up basic reconciliation workflow Provide a short walkthrough and answer setup questions Important notes We currently plan to use Zoho Books Free, unless you strongly recommend Standard for a specific reason Banking will involve Chase and Fidelity These are 2 separate legal entities, so books must be kept separate We want a setup that is simple, clean, and appropriate for a startup Deliverables By the end of Phase 1, we expect: Zoho Books set up for both corporations Zoho Payroll set up for one corporation Chart of accounts configured Sample Chase and Fidelity imports demonstrated or completed Basic reconciliation workflow shown Short walkthrough / Q&A session Phase 2: Ongoing Monthly Bookkeeping & Payroll Entry (Both Companies) After setup, we intend to run this as a recurring monthly engagement, ideally with the same person who does Phase 1. How it will work Each month, we will provide a spreadsheet covering all transaction activity for both companies — credit card charges (by card number), bank transactions, pending/unclear invoices, and deposits — already organized with dates, amounts, categories, and linked invoice/receipt files. You will enter this data into Zoho Books for each corporation, coded to the chart of accounts set up in Phase 1, and keep each entity's books fully separate. You will reconcile entries against the underlying Chase and Fidelity statements each month. You will enter and run payroll in Zoho Payroll for one employee per company, each month. We will approve/authorize each payroll run; you will handle the data entry and processing in Zoho. Where an item in our spreadsheet is unclear or missing supporting documentation (we'll flag these, similar to a "pending items" list), you will note it back to us for follow-up rather than guessing at the categorization. Deliverable each month: fully entered, categorized, and reconciled books for both entities, plus completed payroll for the one employee in each. This is intended to be a recurring, ongoing arrangement (not part of the $400 fixed price above). We're targeting approximately $125/month per company (~$250/month total for both) for this ongoing scope, though we're open to discussing this with the right candidate based on experience and credentials.
