n8n Automation Build — Sales Agreement Pipeline (JotForm → PDF → E-Signature → CRM)

We needed an end-to-end automation for our retail sales agreements. When a salesperson submits an intake form, the system generates a formatted purchase agreement PDF, routes it for signature, archives the signed copy, notifies our team, and creates the corresponding CRM records — with no manual steps after submission. Scope of work completed: Two n8n Cloud workflows: one triggered by form submission, one triggered by the e-signature completion webhook Intake forms configured across four product lines with conditional logic Code nodes to parse form payloads, generate order numbers, and build a fixed-length 5-page HTML agreement Terms & Conditions pulled live from a Google Doc at runtime, with section parsing and fallback handling HTML-to-PDF conversion via PDFShift API Branching logic for two signing paths: in-person (signature captured on the form) and remote (document sent for e-signature with pinned signature/date field coordinates) Google Sheets used as a state bridge between the two workflows for pending remote signatures Signed PDF archived to a shared Google Drive via service account, with a date-first naming convention Contact and Opportunity records pushed to our CRM via REST API, including 36 custom fields, pipeline and stage assignment SMTP customer confirmation and internal team notification emails with PDF attachments Written maintenance and operations documentation covering credential rotation, safe vs. developer-only changes, and common troubleshooting tasks
