operations manager/ chief of staff for Creator & Events Brand (Content + Business Ops)
Worldwide
I'm a New York–based content creator and the founder of a fragrance tour and events business. My work sits at the intersection of content creation, live experiences, and brand partnerships. As the business grows, I'm looking for an operations partner who can own the day-to-day so I can focus on what I'm best at: filming, hosting experiences, and developing partnerships. You'd be working with me directly, every day. Right now the business runs because of me. Your job is to make it run with me. And I want to have fun as we do it together! This is not a task-execution role. I already have people who execute. I need someone who takes a project from "we said yes to this" all the way to "it happened well," who notices when something's off before I flag it, and who has the judgment and the spine to say "here's how we should scope this" rather than waiting to be told. I want to be honest that this is really two roles in one. There's a chief-of-staff layer — owning projects, systems, and the operating rhythm of the business — and there's a real executive-support layer underneath it. You'll run my inbox and calendar and keep my days coordinated. That's not the ceiling of the job, but it's a real part of the floor, and the person who thrives here takes pride in both. This is a grow-with-the-company role: as you prove you can own outcomes, the scope and the pay grow with you. What you'll own Tour Operations — the first and primary mandate -Scheduling, capacity, and new-schedule releases -The tour numbers, and the decisions that move them -Guest experience and quality -Customer service and rescheduling Content Operations — you run the machine; I create the content -Route footage to editors and hold their deadlines -Own the publishing schedule and content calendar -Pull performance numbers and bring back the pattern Project Management, End to End -Scope what I say yes to, build the plan, drive it to done -Push back on timing and scope when it's the right call -Run repeatable plays (like corporate outreach) start to finish Executive Support -Manage and triage my inbox; draft replies and track follow-ups -Own my calendar, meeting prep, and coordination -Handle light deal correspondence and track gifts and partnerships -Represent me in meetings when it makes sense Business Machinery -Invoicing for private events -Vendor and contractor management -Contract drafting and management The first six months First 30 days — absorb and stabilize. Learn the tour operation inside out, take over my inbox and calendar, and receive the full handoff from my current operations manager. Success here is simple: nothing drops. You're not building anything yet. By 60 days — own the rhythm. You're running the weekly scorecard, owning tour scheduling, customer service, and reschedules, and holding my editors' deadlines so content ships on time. You're starting to flag problems before I do. By 90 days — first real ownership. You own the tour numbers outright, and you've run one repeatable play end to end by hand. You bring me a point of view, not just a status update. By six months — trusted operator. Tours run without me in the weeds. You've documented one or two systems from proven manual runs, you're managing my contractors, and we're building marketing execution together. You've earned expanded scope and expanded pay. What I'm looking for in an ideal candidate -3+ years in operations, chief of staff, or ops management, ideally for an early-stage founder or a small hospitality, events, or creator business. - Experience wearing many hats and working with a founder - A real operator's judgment. You can look at a messy "yes" and turn it into a scoped plan. You catch problems early. You have opinions and you share them. - A sparring partner's temperament. Direct, accountable, proactive. You want to own outcomes, not just complete tasks. You'll disagree with me when you should, and warmly. - Executive-support experience and the temperament for it. You've run a founder's or executive's inbox and calendar before, and you do it well without feeling it's beneath you. Discretion, follow-through, and a calm hand with details. -Excellent written and spoken English and strong communication. You'll manage an inbox, draft contracts, and represent me in some meetings. - Tool fluency or fast learning: Notion, Airtable, Acuity, GMass, n8n, Google Workspace, a social scheduler. -***Committed to working US Eastern time hours. My tours and events run on NYC time. You need to be reachable for live coordination during my business hours. Hours - 40 hours/ week as a contract, first two weeks to test compatibility with the opportunity to turn into a full time role How to apply Send me a short note telling me about a project you owned end to end and what was messy about it, what you decided, and how it turned out (if you can share any files to support that, even better!) . Please tell me your favorite perfume in your first message to me!
